Accounts Payable Supervisor-Full-Time Regular

The Natural History Museum of Los Angeles County is seeking an Accounts Payable Supervisor for our Finance department. The Accounts Payable Supervisor is responsible for managing the entire accounts payable cycle, from initially processing vendor invoices and expense reports to eventual payments and reimbursements (including physical checks, wires, ACHs, and direct payments). The AP Supervisor supports in maintaining the Chrome River procurement software and manages the corporate credit cards. The AP Supervisor will also maintain excellent relations with all department budget managers ensuring timely recording and reporting on all Museum expenses. The AP Supervisor prepares various types of expense and liability account analysis and schedules during tax and audit season. It is an exciting time as we embark on new journeys of becoming a museum of, for, and with L.A.

Salary range for this position is $79,591.00 to $84,582 yearly based on experience plus excellent benefits. This is a full time regular, exempt position.

Responsibilities for this position include, but are not limited to:
- Responsible for managing Museum's entire accounts payable cycle, including compliance review, optimizing the process and providing training to end users.
- Controllership of procurement database Chrome River and MIP (accounting); ensure vendor profiles are up to date including vendor bank account dual verifications, and regularly review vendor data to identify discrepancies and potential risks
- Reviews and approves purchase orders (PO), out of pocket expense reimbursements, credit card expense reports, and invoices.
- Oversees processing of vendor invoices by AP Clerk, matching them to any corresponding POs and Encumbrances, through proper coding and in matching time period.
- Reviews all unposted AP transaction entries for posting to the accounting system.
- Oversight of Imports of fully approved Chrome River transactions into MIP.
- Oversight of timely processing of payments through biweekly check runs and preview of AP Aging to verify payments to be included on check register, including thorough verification of payment methods to be scheduled i.e. Live Checks, Bill Pay checks, EFTs (via NACHA file), ACH, Foreign wire and employee reimbursement direct deposits. Additionally, maintain positive pay records.
This position has the following requirements:
- Excellent credit score required at time of hire and must be maintained throughout employment.
- Ability to communicate difficult or complex accounting transactions in a basic manner to person(s) not having accounting or finance background.
- Is proficient in using spreadsheets for financial analysis, integrated accounting and general ledger software including with organizations with multiple cost centers. Experience with Abila Fund Accounting software (MIP) is highly desirable.
- Bachelor's degree with a focus in business or accounting preferred.
- Five years of accounts payable experience consistent with progressive responsibility.
- Experience working with integrated accounting system with multiple cost centers preferred.
- Experience working with nonprofit organization is highly desirable.
- Knowledge of US GAAP, IRS W-9 and W-8
