Summary
King County Road Services Division, Strategic Business Operations Section (SBOS) is looking for an independent Administrator I that is an approachable and skilled office manager with strong listening, administrative, and research skills. The successful candidate will be an independent administrator that has the ability to get things done with minimal supervision, strong coordination and office management skills, and experienced working well within a collaborative, team environment. Job Duties
Applying equity and social justice principles is a daily responsibility and a foundational expectation for all King County employees. In this role, you will apply equity and social justice principles that exemplify shared values, behaviors, and practices to all aspects of the work.
  • Compose, prepare draft, summarize, proofread and edit a variety of documents, ordinances, motions, executive policies, reports and correspondence, through final form to ensure conformance with appropriate use of grammar, specialized terminology, established procedures and county standards.
  • Coordinate and order general office supplies and equipment.
  • Perform complex and critical administrative support, and secretarial duties for the SBOS Section Manager and other professional staff.
  • Gather data for analysis and perform preliminary analysis on project work.
  • Maintain confidentiality while earning trust and respect of co-workers through honesty, integrity, and professionalism in all interactions.
  • Maintain group calendar, schedule meetings, take notes, prepare, and distribute meeting minutes, create, and maintain distribution lists.
  • Coordinate meetings by reserving conference rooms and scheduling participants.
  • Maintain and update data and materials related to division functions by utilizing Microsoft Word, Outlook, Teams, SharePoint, PowerPoint, Excel, and specialized database systems (i.e. Oracle EBS, Peoplesoft, or similar such software).
  • Maintain organized, accurate, and accessible records and filing systems, including complex records, correspondence, and related documents. Filing systems include digital and physical documents.
  • Participate in strategic planning efforts and help develop and/or revise policies and procedures for assigned work unit.
  • Manage, monitor, and maintain supplies for division staff located at King Street Center through the use of a County purchasing card and requisition.
  • Assist with special projects as needed and perform other duties as assigned.

Experience, Qualifications, Knowledge, Skills
Minimum qualifications:
  • Strong background in administrative support and ability to use good judgment in making independent decisions with a high degree of tact and diplomacy.
  • Demonstrated customer service skills, and ability to work and communicate in person, verbally, and in writing.
  • Experience maintaining confidentiality and using discretion when handling sensitive information.
  • Ability to develop, prepare, and maintain database reports, including charts, graphs, and tables.
  • Demonstrated ability to effectively problem solve, apply good judgment and initiative.
  • Proficient in the use of Microsoft Office products, including Microsoft Word, Excel, Outlook, SharePoint, and PowerPoint.
  • Demonstrated strong attention to detail.
  • Proven ability to multi-task and remain organized in an environment with deadlines and changing priorities.
  • Ability to maintain a positive, collaborative, and flexible approach to performing work duties.
  • Adept at working independently or as part of a team.
  • Experience coordinating and scheduling meetings and maintaining and managing calendars.
  • Excellent oral and written communication skills to convey information clearly and accurately.

Supplemental Information
INTERVIEW SCHEDULE:

Those applicants who pass the initial screening will be invited to participate in a 15-minute phone interview the week of 03/03/2025. If you are selected to move forward after the phone interview, you will be invited for a 45-minute virtual/in-person interview the week of 03/10/2025.

WORK SCHEDULE:

The work week is normally Monday through Friday, 8:00 a.m. to 5:00 p.m., but may at times require work outside of normal business hours. This position is Non-Exempt from the provisions of the Fair Labor Standard Act and is eligible for overtime pay, with prior supervisor approval.

EMERGENCY DESIGNATION STATUS: This position has been designated (Non-Mission Critical) - Employees who staff county functions or services that may be delayed, suspended, or diverted in an emergency while essential functions are prioritized Mission Critical.

TELEWORKING REQUIREMENT
This is a hybrid position. The work associated with this position will be performed by teleworking, onsite work and meetings as needed. The responsibilities of this position will include regular and ongoing in-office work.

Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours.
