The Department of Applied Mathematics has an outstanding opportunity for an Administrator to join their team.
The Department of Applied Mathematics hosts a vibrant community of scholars dedicated to conducting world-class interdisciplinary mathematical research with applications in the physical, biological and engineering sciences. The department provides dynamic and engaging training that is especially strong in scientific computing and modern mathematical methods and in the application areas of mathematical biology, nonlinear waves and coherent structures, mathematical finance, and climate modeling.
The Administrator of the Department of Applied Mathematics is responsible for business planning, financial management, personnel, research project support, general administration, and other functions as necessary. The Administrator reports to the Chair, acting independently under the Chair's general direction within the University's policies and procedures.
DUTIES AND RESPONSIBILITIES
Financial Planning, Reporting and Management (40%):
The Administrator manages and monitors all revenue sources including student tuition, summer quarter, gift, grant and fee-based degree program funds of approximately $13 million per year. This includes creating and submitting the annual Adaptive Plan (Workday) for the department including the fee-based degree program. Based on the Adaptive plan, run and analyze Workday reports and expense tracking, identify and mitigate variances. Review HR payroll costing allocations using Workday reports to ensure faculty, staff and students are paid from the appropriate source. Review department's financial status with Chair monthly and submit financial reports to the Dean's Office as required. Manage fiscal year end close and ensure department does not have a deficit in any revenue sources
Sponsored Research (20%):
The Administrator assists faculty with grant submission, including budget preparation, internal and external electronic forms and sponsor reports. The Administrator oversees compliance with sponsor and university policy, reconciliation and preparation of monthly financial reports, providing guidance to principal investigators and staff. The Administrator assures compliance with federal, state and university policies and responds to information requests from faculty, chair, internal and external auditors.
Human Resources (30%):
The Administrator ensures that the Department follows all applicable policies, labor contracts and regulations regarding faculty, classified, professional and hourly staff and Academic Student Employees (ASEs). The Administrator is responsible for entering and reviewing Workday HR/Payroll transactions. They prepare, assemble, and distribute required documentation for faculty promotion and tenure, reappointment, search, and appointment processes. This position also supervises seven staff members, assigning and monitoring their work, conducting performance reviews and initiating corrective action if necessary. Provides professional development and mentoring.
Facilities (5%):
The administrator prepares and analyzes department space and equipment requirements; coordinating and managing maintenance requests, new equipment purchases, surplus and repairs, serving as the building coordinator for Lewis Hall. Ensure compliance with University, State and federal policies and procedures regarding space and workplace safety.
Other duties as assigned (5%).
MINIMUM REQUIREMENTS
Bachelor's degree
Four years of increasing experience related to financial planning, financial reporting and financial management in education, not-for-profit or government setting
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS
Proficient with Microsoft Office software, including intermediate Excel skills (pivot tables, V-Lookup), MS Teams and Word
Superior administrative, organization and analytical skills, including planning, problem solving and innovation
Strong written, digital, and oral communication skills, including tact, diplomacy and discretion
DESIRED QUALIFICATIONS
Experience managing staff
Experience in Workday or similar ERP software tool
Ability to work independently, professionally, and proactively with a high degree of reliability and accuracy
Demonstrated collaborative work style and ability to work well and creatively in a diverse workplace
Experience with sponsored research and external online systems such as grants.gov, NIH eRA Commons and NSF Fastlane
