Job Description

SUMMARY OF ESSENTIAL DUTIES AND RESPONSIBILITIES:

Under the supervision of the CPEP Administrator, The Assistant Director will manage the day-to-day operational, administrative and non-clinical functions of CPEP and each of its areas. This includes the main CPEP, EOIJ, MCI-J and Registration areas. The Assistant Director also manager the Assistant coordinating managers and clerical associates that work in CPEP.
  • Direct, manage and support the day-to-day functions of the CPEP Assistant coordinating managers and clerical staff which includes evenings, weekends and holidays.
  • Develop working relationships with all clinical partners i.e. medical directors and nursing directors, to further develop clinical/non-clinical short- and long-term goals.
  • Ensure that all clerical registration protocols are complete, thorough and accurate on a daily basis. This includes demographic collection, insurance information, MSPQ, palm vein enrollments, work queue compliance, consents and Co-pay collection.
  • Develop and maintain ongoing education of EPIC registration process, revenue cycle work queues and the appointment scheduling for the outpatient practices.
  • Provide daily, weekly and monthly reports validating registration process is complete and up to date.
  • Oversee the clerical associates and Assistant coordinating managers weekly and monthly staffing schedules for assigned tour, seven days a week and holidays.
  • Complete and maintain annual employee evaluations.
  • Conduct daily, weekly, monthly and/or as needed staff meetings.
  • Opens and follows up on service tickets/work orders as needed for all issues related to their work space i.e. environmental services, facilities, telecommunications and information technology.
  • Maintain working knowledge of Downtime processes, preparation, forms and boxes.
  • Effectually demonstrates Management By Walking Around (MBWA) in all areas of assigned responsibility on a daily basis.
  • Ensures adequate administrative supplies are available when needed in the CPEP for frontline staff.
  • Maintains the CPEP stocking par level and inventory to ensure that the right amount of supplies are available at the time of need.
  • Participates in all patient experience initiatives.
  • Participates in all PI/QI initiatives.
  • Communicates work-related issues/problems to Administrator for appropriate follow-up.
  • Attends meetings as assigned/scheduled.
  • Assists/Covers in other areas as assigned.
  • Perform other duties as assigned.


Minimum Qualifications
1. Master's Degree in Public Administration, Public Health, Health Care Specialization, Social Work, Psychology or related field; and
2. Three (3) years of increasingly responsible experience in hospital or regulatory agency administration, with particular emphasis on development and evaluation of mental health delivery services; or
3. Possession of a valid license and current registration to practice in a mental health field issued by the New York State Education Department (NYSED).
