ASSISTANT DIRECTOR OF FACILITIES
The Facilities Department at Willamette University is responsible for the daily operations, maintenance and upkeep of approximately 1.4 million square feet of academic, residential, administrative and off campus properties situated on approximately 60 acres with all the associated utilities and infrastructure.
The Assistant Director works closely with the Director of Facilities and the Facilities Management Team to effectively and efficiently oversee the daily operations of all Campus facilities. This includes the oversight and management of the maintenance department staff, budgets and contractors. Work involves a wide variety of complex duties and responsibilities in the University's fast paced Facilities Management Office. This position requires a high degree of interpersonal and communication skills to provide a high level of professional assistance to individuals both inside and outside the University. Performance of responsibilities has a significant impact on budget, reputation, and operations of the University.

Duties and Responsibilities
- Supports Director of Facilities in the efficient overall operation of the department.
- Assists in the management of departmental budgets as assigned by the Director of Facilities.
- Responsible for oversight and management of the maintenance department including (2) foremen and (15+) maintenance staff. Hires, trains, counsels, and provides regular written evaluations of assigned staff.
- Provides strong leadership, management, training and development skills while effectively supervising staff and building an effective team.
- Assigns, supervises, schedules and evaluates the work of assigned staff; advises, assists and trains subordinates as necessary.
- Establishes annual employee goals and development plans and provides regular performance feedback.
- Provides administrative leadership to ensure that the facilities work order system responsibly and efficiently services institutional users. Coordinates timely and professional responses to work order requests and emergencies.
- Helps the Director of Facilities develop and manage the preventative maintenance plan for mechanical, electrical and structural systems. Manages data in the facilities asset planning system.
- Coordinates efforts with consultants, project managers, contractors, and University personnel as assigned.
- Helps manage campus utilities, utility contracts, their associated infrastructures, and co-ordination with outside utility providers.
- Oversees the management of assigned service contracts. This includes and is not limited to procurement of supplies and equipment and managing contracted services for building and property maintenance.
- Ensures compliance with all fire, life, safety, workplace safety and health, and environmental regulations.
- Oversees the maintenance and performance of all mechanical, electrical, plumbing, fire/life safety, and climate control systems, including HVAC, boilers, electrical panels, roofs, fire detection, plumbing systems, landscape irrigation systems, swimming pool facilities, gym floor, etc.
- Provides project management responsibilities as assigned by the Director of Facilities.
- Actively participates in committees, meetings and professional development opportunities that will further the physical plant/facilities-related goals of the University.
- Maintains positive working relationships with University departments, staff, vendors, contractors, and the public.
- Position requires being on call 24/7 to respond to emergencies and other significant issues on campus as part of the on call manager's rotation.
- Additional duties as assigned.
Minimum Qualifications
- Three (3) years of progressively increasing responsibility as a supervisor and a demonstrated knowledge of facilities operations and maintenance.
- Extensive and proficient use of a personal computer and software programs such as Word, Excel, or any specialized applications desired. Keyboarding, email and maintaining databases.
- Communicate both orally and in written English.
- Possession of a valid driver's license and satisfactory driving record or ability to obtain one within 60 days of date of hire.
Preferred Qualifications
- Bachelor's degree in engineering, architecture, facility management, or a related field.
- Five (5) years of management and supervisory experience in facilities management, and general building maintenance.
- Experience in facilities maintenance with electronic management systems.
- Experience managing multiple budgets.
Physical Demands and Working Conditions
- Mostly involves work in an office setting but also involves exposure to adverse environmental conditions as may be found in working outdoors including inclement weather, extreme temperatures, noise, dim lighting, dust, and all other adversities and hazards.
- May be required to drive vehicles both on and off campus.
Salary: $90,000
