Summary You will serve as the Division Office Assistant in the TESTING SURVEILLANCE & CALIBRATION DIVISION, MEASUREMENT SCIENCE & ENGINEERING DEPARTMENT of NAVAL SURFACE WARFARE CTR CORONA DIV, SEAL BEACH, CA DETACHMENT. Help Duties * You will make travel arrangements for Division personnel to include making reservations, preparing travel authorizations and claims in the Defense Travel System (DTS). * You will review all travel documentation for compliance with DoD, DoN and Corona Division policy. * You will make complete arrangements for meetings and conferences, reserve facilities and equipment, coordinate security clearances, organize support materials, prepare meeting agendas, and take minutes of meetings. * You will prepare a variety of Navy correspondence, documents and forms using Microsoft Office applications. * You will ensure compliance with records management for the division in accordance with DoD, DoN and other statues, federal regulations and directives. * You will ensure records, regardless of the media, are properly filed and are easily retrievable, and eligible records are purged annually and obsolete material is discarded. * You will advise division personnel on Corona Division's policy regarding timekeeping, including appropriate leave codes and travel requirements. * You will ensure all mail is picked up and delivered to the base post office, and that all registered and classified mail is properly handled, marked, stored, logged into the accounting system (BITS). * You will verify visitor clearances in Defense Information System for Security (DISS) and coordinate visitors as needed directly with Naval Weapons Station Base Security Pass and ID Office. * You will perform alternate Building Representative duties, responsible for liaising with Facilities Branch and tracking corrective actions, participating in monthly Facilities Review Boards, and performing monthly Building Rep check sheets. * You will manage the maintenance, use and non-financial records associated with the detachment vehicle fleet. * You will maintain personnel lists to include phone numbers, cubicle numbers, and computer assets. Qualifications Your resume must demonstrate at least one year of specialized experience at or equivalent to the NG-02 (GS-05/06 equivalent) grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Utilizing office automation systems to make travel arrangements for personnel (e.g. making reservations, preparing travel authorizations and claims) and prepare correspondence (e.g. legal documents, letters, instructions, reports) for an organization.
