THE HUSKY UNION BUILDING
The Husky Union Building (HUB) serves as the center of the UW community life, and enhances the student experience through an extensive variety of cultural, educational, social, and recreational programs. POSITION PURPOSE
The HUB Associate Director for Facilities is responsible for ensuring the smooth operation of the 295,603 square foot Husky Union Building (HUB), a 75-year-old historic campus building which serves as the student union and center of student life on campus. This role requires comprehensive knowledge of commercial facility operations, including plumbing, electrical systems, HVAC, mechanical systems, fire suppression systems, and environmental controls. This position oversees a team of 15 full time staff, including a permanent painter and maintenance mechanic, and manages a budget of $1.4 million.
Promising candidates will possess a demonstrated ability to manage a large commercial facility, coordinate closely with campus partners and vendors to complete work orders, and effectively prioritize the health, safety, and efficient operations of the building, its staff, and the UW Community who utilizes it. Reports to the Executive Director, serves as a member of the HUB Leadership Team, and is a designated building coordinator.
DUTIES AND RESPONSIBILITIES
Operations - 65%
Oversee the day-to-day operation of the HUB, ensuring the facility and all systems are functioning.
Advise the Executive Director on operational strategies necessary to ensure the proper maintenance and function of the HUB.
Direct the work of in-house custodial and facilities staff to maintain a high standard of cleanliness and functionality of the facility and its systems.
Liaise and maintain frequent contact with UW Facilities and the various shops to report, schedule, and close-out all work orders.
Identify, contact, and coordinate with external vendors to investigate problems, prepare quotes, schedule work, and close-out projects.
Apply for, update, and display necessary permits and inspections for the normal operation of the building.
Maintain and enforce compliance with University, Local, and State policies and regulations and codes regulating commercial facilities.
Maintain a thorough understanding of the building's systems, including plumbing, electrical, HVAC, CAAMS, security cameras, and structural components.
Develop and implement maintenance schedules and protocols to ensure the longevity and safety of the building and its equipment.
Coordinate with HUB Leadership and staff to develop, implement, and monitor emergency preparation and response plans.
Coordinate with UW Emergency Management and UW Facilities to plan and execute Emergency Drills including annual fire drills.
Administration - 25%
Prepare, monitor, and manage a $1.4 million budget, ensuring alignment with the HUB's financial goals and objectives.
Manage facilities and custodial supplies inventory and equipment; identify qualified vendors and make purchases in accordance with university policy and procedure.
Work closely with HUB Finance and Business Operations on payroll, invoicing, vendor contracts, internal billing, and accounts payable.
With HUB Finance and Business Operations and HUB Administration, maintain the Business Continuity Plan, Shelter Plan, Evacuation Plan, and other emergency plans.
Coordinate and track the provision of building keys, CAAMS access, building permits, and other building access tools.
Track the use and distribution of facility chemicals and other controlled materials in accordance with university policy and procedure.
Track and inspect AEDs, First Aid, and Emergency Kits throughout the facility in accordance with university policy and procedure.
Maintain and renew required facility permits and certifications in accordance with university policy and procedure.
Manage the HUB's equipment insurance program and annual property insurance renewal.
Oversee the HUB's permanent art collection and coordinate the display and storage of new assets.
Manage the HUB's physical inventory and ensure proper tracking and disposal of assets.
Serve as a member of the UW Facilities Group 3 Health and Safety Committee.
Liaise with building tenants on matters concerning the facility and operations of the building.
Develop, propose, execute, and maintain necessary plans, policies, and procedures including preventative maintenance plans, maintenance schedules, standard operating procedures, building policies, insurance programs, and inventory controls.
Assess and respond to the evolving needs of students and the UW Community as it pertains to the facility.
Supervision - 10%
Provide strong leadership and supervision to the HUB Facilities team. Responsible for the selection and supervision of 6 direct reports and 12 indirect reports.
Establish work priorities, schedules, deadlines, and projects.
Perform annual performance evaluations of all full-time staff.
MINIMUM REQUIREMENTS
Bachelor's degree in business, construction management, engineering, or related field and 4-5 years demonstrated experience in facility management and operations.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED QUALIFICATIONS
Master's Degree in business, construction management, engineering, or related field.
Knowledge of sustainability practices and energy efficiency standards.
Knowledge of commercial facility systems including plumbing, electrical, and HVAC systems, particularly in a higher education environment.
Experience leading a diverse staff, particularly in a multi-lingual and multi-cultural environment.
Effective communication skills, both verbal and written.
Proficiency in Microsoft Office and general computer literacy.
Familiarity with University policies and procedures.

Candidates will be a strategic leader and contributing member of a team, manage projects and people with the highest level of integrity, display an extreme attention to detail, and have a proven track record of developing and executing a strategic vision in a student-centered environment.
SUPERVISORY RESPONSIBILITIES
Responsible for the selection, training, mentoring, supervision and evaluation of 15 full-time classified staff.
SUPERVISION
This position reports to and works under the general supervision of the HUB Executive Director.
WORKING CONDITIONS
Position is responsible for working independently with minimal oversight from the Executive Director to lead their unit. Occasional evening and weekend hours to respond to facilities issues may be required. Schedule can be flexible and allows some hybrid/work from home days after onboarding, with the on-site job hours being performed in a shared office setting.
This position is considered essential and required to report to work when university operations are suspended per APS 40.2.
This position is overtime exempt.
