Located in Greater Boston, MassBay is a comprehensive, open-access community college offering associate degrees and certificate programs on three campuses in Wellesley Hills, Framingham, and Ashland, Massachusetts.

Position Summary:

The ideal candidate will join a vibrant and inclusive educational community,and have a desire and ability to work with a diverse population. The Associate Director of AdmissionsOperations serves as a member of the Admissions leadership team and manages alloperational, technology, and system administration aspects of the department'sroutine activities. This position includesassistance to all Admissions staff in learning and implementing standardized processes,coordination with all recruitment staff, and close collaboration with Marketingand IT Departments. This role isresponsible for assisting in the design of and supervising the maintenance ofthe SLATE (CRM) system, PeopleSoft (Bay Navigator), and business processautomation, documentation, and department-wide training on key applicationprocessing, student information, communication, data management, and reportingtools.

Key Responsibilities and Duties:
  • Support the Associate Dean in providing leadership and strategic direction for the Office of Admissions;
  • Work with Admissions and Applications Support teams to manage activities related to the implementation, maintenance, and use of SLATE CRM (including the handling and processing of student admissions documents).Activities to include, but are not limited to: collaboration in the building of various admissions applications, processing applications and completing fraud checks, the development of student admissions portals, and building dashboards and reports on student admissions data;
  • In collaboration with the Admissions leadership team, plan, develop, recommend, organize, manage, and administer the operations procedures pertaining to the admission of all students;
  • Supervise the Senior Admissions Technical Coordinator (MCCC) and all Admissions Operations Team (AFSCME) members as well as work-study students and temporary staff involved in operations activities at the Wellesley Hills campus;
  • Oversee the Senior Admissions Technical Coordinator who will serve as a liaison between the Admissions Office and the Office of Information Technology, representing Admissions in the monthly PeopleSoft User Group meetings;
  • In collaboration with the Admissions leadership team, the Senior Admissions Technical Coordinator, the Associate Dean of Enrollment Operations, and IT staff, streamline tasks, optimize efficiencies, identify, vet, and implement technology solutions to improve operations such as SLATE, DocuWare, Ocelot, and other platforms;
  • With the Senior Technical Coordinator and IT, research/investigate new technologies (i.e.-research new data integration, customer service and/or communications technology, equipment, and software; investigate) and make recommendations to the Admissions leadership team;
  • Assisted by the Senior Technical Coordinator, oversee equipment/licensing inventory and maintain inventory records; with Purchasing, coordinate the purchase of equipment; specify and prepare bids for new systems, software, and services; implement new equipment and technology into the current structure of the department;
  • Collaborate with staff, faculty, administrators and internal departments to research and resolve application processing issues;
  • Coordinate the daily activities of Admissions Operations including the implementation and management of administrative functions within the Admissions Office such as front-line customer service, data entry (prospect and applicant), communications, and troubleshooting;
  • Collaborate with the Admissions Leadership team and the Associate Dean of Enrollment Operations to document all admissions business processes and develop comprehensive training materials;
  • As requested by the Associate Dean of Admissions or college leadership, gather and analyze complex data related to admission, registration, online processes, telephone helpline, and direct services;
  • Summarize findings in reports or other communication formats;
  • Work closely with admissions, web, and marketing teams to update the admissions website, related email accounts, and the admissions section of the student portal.Develop forms used by students and staff for admission-related purposes;
  • Participate in a variety of meetings, committees, task forces, and/or other related groups to communicate information and facilitate continuous improvement of programs and services;
  • Assist the Associate Dean of Admissions in meeting enrollment goals by systematically reassessing workflow issues and continually developing innovative ways to engage and support prospective students and referral sources;
  • Actively participate in recruitment events such as Open House;
  • Complete other duties as assigned.

Required Qualifications:
  • Master's degree in Operations Management, Business, Higher Education Administration, or Technology Management or closely related field or an equivalent combination of education, training and experience involving college admissions, admissions operations, academic advisement, and/or career development;
  • Experience with supervising, preferably supervising unionized staff;
  • Experience with PeopleSoft (Bay Navigator), SLATE (CRM) System, Student Information Systems (SIS) and Document Imaging systems;
  • Practiced in project management principles and practices;
  • Knowledgeable about systems building and integration principles;
  • Able to interpret, analyze, and evaluate complex problems to successfully recognize and define solutions;
  • Expert in computer technology used for communication, data gathering and reporting;
  • Excellent at communicating effectively through oral and written mediums;
  • Able to commit to a full-time, 37.5 hour per week, hybrid (on-campus and remote) working schedule.

Additional Information:

Salary Range: $90,000.00 - 95,000.00 Annual Salary
