Tri County position: travelling to different sites in Yolo, Napa and Solano county

Building on a legacy established by both organizations in 1972, CommuniCare+OLE is a network of federally-qualified health centers with 17 sites across Napa, Solano, and Yolo Counties. It offers comprehensive care, including medical, dental, behavioral health and substance use treatment, nutrition, optometry, pharmacy, care coordination, referrals, and enrollment assistance to more than 70,000 individuals, and no one is turned away due to lack of insurance, immigration status, or ability to pay. Many services are offered outside of its sites, including mobile health, home visiting, and community and school-based programs.

JOB SUMMARY/OVERVIEW: The Associate Direct of Dental Operations supports the Chief Dental Officer in overseeing the day-to-day operations of dental services across all clinics. This role ensures efficient workflows, high-quality care delivery, and compliance with organizational policies and regulatory standards. The Associate Director is also responsible for strategic planning, performance improvement and fostering collaboration of a vibrant culture among the dental department.

MINIMUM POSITION REQUIREMENTS: EDUCATION, EXPERIENCE, SKILLS/TRAINING
  • Education:

  • Bachelor's degree in healthcare administration, business management or related field (master's preferred) or related experience.
  • Experience/Lived Experience:

  • Minimum 3 years of management role experience in healthcare or dental operations. Experience preferred in Federally Qualified Health Centers or public health setting is strongly preferred.
  • Special Skills/Training:

  • Strong knowledge of dental operations, including patient scheduling, billing, and workflow optimization.

    Familiarity with dental electronic health records, EPIC preferred.

    Knowledge of OSHA, HIPAA, and other regulatory compliance standards.

    Proven leadership skills with the ability to manage teams and drive results.

    Excellent communications, problem solving, organizations skills, and data analyzing skills.

    ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

    1.

    Oversee the daily operations of dental clinics, including scheduling, resource allocations, and workflow management.

    2.

    Identify and resolve operational challenges to ensure efficient and consistent service delivery across site.

    3.

    Develop and implement standardized procedures and workflows to improve clinic efficiency and performance.

    4.

    Support recruitment, onboarding, and development of dental staff, including back-office staff, front office staff, leads, supervisors, and managers.

    5.

    Monitors performance metrics and provides coaching and training to improve team performance.

    6.

    Foster a positive and collaborative work environment that promotes staff engagement and retention.

    7.

    Resolve conflicts and concerns among team members in a timely manner with appropriate follow-up plan and documentation.

    8.

    Ensure all clinics comply with organizational policies, regulatory requirements, and accreditation standards.

    9.

    Oversee compliance with infection control, OSHA, HIPAA, and risk management practices.

    10.

    Collaborate with clinical leadership to monitor, analyze, and enhance operational and quality performance metrics while identifying areas of improvement.

    11.

    Collaborate with CDO and finance team develop and manage the department's budget.

    12.

    Monitors financial performance including patient volume, revenue, expenses and recommends operational improvement to meet financial goals.

    13.

    Develops and implements operational strategies that align with organization goals. Support efforts to maximize productivity, including provider scheduling and patient access.

    14.

    Assist in evaluating and implementing new technologies and processes to enhance efficiency and patient outcomes.

    15.

    Ensure patient centered approach by addressing feedback and concerns in a timely manner.

    16.

    Implement strategies to improve patient flow and reduce wait times while maintaining high-quality services and promote cultural competency and equity in dental services for diverse patient population.

    17.

    Acts as a liaison between the dental department and other departments. Represent the dental team in meetings, committees, and external events as assigned.

    18.

    Communicates updates, initiatives, and performance metrics effectively to staff and leadership.

    19.

    Supports process of ordering dental supplies, processing of invoices and maintaining accurate inventory records.

    Assists in managing lab services and their associated invoices to ensure timely and efficient support for clinical operations.

    21.

    Aid grant-funded programs and community initiatives by coordinating operational needs and ensuring program objectives are met.

    22.

    Foster a culture of appreciation and ensure meaningful recognition of staff achievements and contributions across the department.

    23.

    Completes other tasks as needed.

    CommuniCare+OLE requires pre-employment drug-testing (4-panel drug-test includes: amphetamines, cocaine, opiates, and PCP).
