Job Summary:
The Attendance Coordinator will be primarily responsible for establishing and maintaining district-wide attendance practices including managing protocols for attendance team meetings, reporting and documentation, chronic absenteeism calculations, and truancy response. This role also involves supporting school attendance teams and maintaining communication with partners at Olmsted County and other organizations in the community. Additionally, the Attendance Coordinator will proactively engage with district families to prevent chronic absenteeism by promoting positive attendance recognition, establishing clear attendance norms for families, and reaching out to students who exhibit early signs of chronic absenteeism. A key focus of this position will be building capacity and developing sustainable practices for attendance and truancy management throughout Rochester Public Schools. Furthermore, this role will contribute to student enrollment and retention efforts by collaborating with school and district teams to identify and address barriers to sustained student engagement.

Duties & Responsibilities:
  • Plans and supports the implementation of the district's emerging strategy for promoting consistent attendance and reducing chronic absenteeism.
  • Oversees the State Attendance Pilot, including participation in pilot meetings, legislative reporting, and taskforce or advisory group activities.
  • Ensures accurate data collection and reporting on student attendance by aligning and maintaining reporting systems.
  • Analyzes and communicates attendance data with district and building leaders, identifying trends, areas for improvement, and future needs.
  • Coordinates pilot programs and implementation efforts with external partners.
  • Maintains and updates the district Attendance Handbook.
  • Provides guidance and support to building-level attendance teams.
  • Develops and executes an attendance communication plan, including awareness campaigns, positive attendance recognition initiatives, and early outreach for students with declining attendance.
  • Collaborates with school leadership teams to implement strategies aimed at improving student retention and enrollment stability.
  • Engages with families to understand and address factors contributing to student mobility and disengagement.

Education and Experience:
  • Educational Background:
    • Bachelor's degree in education, social work, public administration, or a related field.
  • Experience:
    • Experience working with students who demonstrate chronic absenteeism and/or implementing initiatives to promote consistent attendance in a school setting.
    • Experience working with data analysis and reporting systems.
    • Familiarity with research and/or best practices in reducing chronic absenteeism, truancy, and disengaging from school.
    • Experience collaborating with external partners, such as government agencies or community organizations.
    • Experience in student enrollment, retention strategies, or related initiatives is preferred.

Knowledge:
  • Attendance and Retention Practices: Strong understanding of best practices in attendance improvement, chronic absenteeism mitigation, and student retention strategies.
  • Legislative and Policy Knowledge: Familiarity with state attendance laws, compulsory education policies, and reporting requirements.
  • Data Analysis: Knowledge of data collection, analysis, and interpretation techniques related to attendance and retention metrics.
  • Educational Systems: Understanding of how schools and school districts operate, including attendance systems, intervention strategies, and communication with families.
  • Poverty and Related Factors: Awareness of how attendance and retention issues are influenced by poverty, housing instability, and other social and economic factors.

  • Communication Skills: Strong written and verbal communication skills to engage with staff, families, and external stakeholders effectively.

  • Organizational Skills: Strong ability to manage multiple tasks, prioritize work, and meet deadlines.
  • Research Skills: Capacity to review scholarly research on attendance and related issues and provide practitioners and community partners with insights from that research that can be applied to their work with students and families.
