Position Details
Under the direction of the Senior Director, Fiscal Services, the incumbent will be responsible for Aries Eagle Student Information System. The incumbent will also monitor and assist the supervision of attendance clerks at the school sites. The incumbent will be responsible for a heavy volume of district complex record analysis activities relative to the district's SIS (Student Information System) including, but not limited to, student attendance, records, transcripts and schedules; performs a variety of technical duties in the support of district business operations and other applications; works independently and exercises wide latitude of judgment in performing general duties and related tasks as required.
JOB RELATIONSHIP
The incumbent will distinguish themselves by their ability to plan, organize and implement computerized solutions as it relates to attendance taking for a K-12 California public school district. The incumbent will possess strong interpersonal, written and verbal skills; and the incumbent must demonstrate strong analytical skills and a background in statistical methods. Directions and assignments will be provided by the Senior Director, Fiscal Services or Designee with the expectation that the employee will be self- motivated, driven, highly efficient, thorough, detailed oriented, analytical, and capable of researching some unknown information and knowledge as needed.
Essential Functions - Typical Duties
Assist the principals with monitoring and supervising Attendance Clerks. Train, supervise and evaluate the performance of assigned personnel; select new employees.
Using proven techniques develop and defend enrollment and ADA projections for any point in time during the school year.
Complete all state reports related to student information and attendance on time and accurately.
Provide second level system support for student attendance related issues.
Develop and implement procedures and policies to ensure student attendance data integrity at the District and site level.
Make verbal and written presentations to Administrators, Teachers and Clerical Personnel.
Respond to information inquiries from internal and external customers; answer questions regarding student system issues.
Plan, organize, implement and monitor a year-round attendance calendar that would include instructional and business requirements.
Design and develop systems and programs to support an automated attendance taking and reporting process.
Develop and implement policies and procedures consistent with Ed. Code to facilitate attendance taking and reporting.
Conduct year round training for Attendance Clerks, Administrators and Teachers.
Conduct attendance audits at each site; design and develop an audit reporting process to communicate results to site and central office administration.
Manage supplies inventory necessary for the smooth operation of the student attendance system.
Maintains and monitors District Student Information System.
Analyze SIS audit findings to identify and isolate the under lying cause(s) of errors, report findings to appropriate district personnel and provide training on correct processes when necessary.
Coordinates with site administrators and assists District attendance and guidance personnel in maintaining accurate Student Information relating to demographics, registration, attendance, guidance, scheduling, and testing data (CALPADS).
Performs ad hoc queries against the SIS database using both SIS query language and Microsoft's Structured Query Language (SQL) to produce custom reports as requested by site and district personnel and/or data extracts that may be used by other systems (e.g., EADMS, SEIS, etc).
Provides training to various departments (including software use, data collection, gradebook setup and use, best practices, etc.).
Performs data analysis through the construction of SQL and SIS queries that compare historic and/or current data and provide accurate results for use directly related to District funding and explain, investigate, defend, and reconcile all results.
Performs longitudinal analysis of student data including the calculation of attendance, absenteeism, graduation and dropout rates based on race/ethnicity, grade levels, socio-economic levels, and other factors as requested by district office personnel for use in financial planning, i.e. Local Control and Accountability Plan (LCAP Funding).
Compiles district attendance data for the completion of required District, State and Federal reports in coordination with the District Business Office (CALPADS).
Prepares Districtwide test reports and charts.
Maintains, monitors and updates software (such as Aeries, Destiny, and custom district databases).
Collects and analyzes data as needed for various district and state departments.
Develop complex SQL queries to identify erroneous data entries in SIS for inclusion in automated audit processes.
Provides training to teachers and site staff on how to create, link, maintain, share, weight and update gradebooks and gradebook templates for multiple subjects and terms.
Generates student Progress/Report Cards for all district sites and carries out process to mail out notices.
Runs queries to extract student and teacher lists in order to create new accounts.
Extracts Special Education data from the SEIS system and imports the data into SIS to update student information.
Collaborates with district personnel to develop new processes/procedures to streamline existing practices.
May assist in processing help requests and problem reports (via phone, email, ticketing systems, etc.), evaluating problem reports to determine their veracity and assists users in correcting errors or educating users in the proper procedures and processes to follow for multiple systems. (E.g., SISCS, SIS.net, SIS teacher portal, CALPADS etc.)
May assist registration personnel in the adding of new student records in SIS including being able to identify and explain the minimum required fields that must be populated to allow for successful CALPADS reporting.
May assist in various other application/database related maintenance.
Other duties as assigned and in accordance with job classification.
Minimum Qualifications - Education and Experience
Education: A four-year university degree from an accredited University in Math, Computer Science, Economics, Business Administration or closely related field of study. Experience may be substituted for up to two years of education. Student Information Systems background or experience with strong analytical, verbal and written skills required.
Experience:
Three years of experience with automated attendance taking systems specifically the use of an IBM PC Based Student Information System and State CALPADS System; two years' experience using ODBC compliant software such as Microsoft Office and developing and conducting user training; and one year experience developing client/server application using language such as Access. Know of Attendance Policy as per California Education Code is required.
