The Chief Estimator is responsible for leading the estimating department and overseeing the preparation of accurate and competitive cost estimates for HVAC systems in commercial and industrial projects. This role involves evaluating project requirements, managing a team of estimators, collaborating with stakeholders, and ensuring that proposals align with client expectations and company objectives. The Chief Estimator plays a crucial role in strategic bid development, cost control, and risk management to drive profitability and business growth.

Leadership & Team Management:
- Oversee and manage the estimating team, providing guidance, mentorship, and performance evaluations.
- Develop standardized procedures and best practices for cost estimating and bid preparation.
- Assign tasks and review estimates to ensure accuracy, competitiveness, and compliance with project requirements.
Project Evaluation & Cost Estimation:
- Review project specifications, blueprints, and technical documents to determine HVAC system requirements.
- Conduct site visits to assess project conditions and gather data for accurate cost estimates.
- Analyze historical cost data and market trends to refine estimating models and improve accuracy.
- Calculate materials, labor, equipment, and subcontractor costs for HVAC installations, repairs, and maintenance.
- Ensure all cost estimates support competitive and profitable bid strategies.
Proposal Development & Bid Strategy:
- Lead the preparation of comprehensive bid proposals, including project timelines, scope of work, and cost breakdowns.
- Ensure all bids are complete, accurate, and submitted on time.
- Develop competitive pricing strategies to increase bid success rates while maintaining profitability.
- Collaborate with senior management to determine bid/no-bid decisions and risk assessments.
Vendor & Supplier Coordination:
- Establish and maintain strong relationships with suppliers and subcontractors to secure the best pricing and terms.
- Evaluate and negotiate vendor and subcontractor bids to ensure cost-effectiveness.
- Ensure compliance with company procurement policies and contractual requirements.
Collaboration & Communication:
- Work closely with sales, project management, and engineering teams to ensure estimates align with project goals.
- Serve as the primary point of contact for estimating-related inquiries from clients, vendors, and internal stakeholders.
- Provide technical expertise and support during contract negotiations and project handover meetings.
Market Awareness & Risk Management:
- Stay updated on HVAC industry trends, material costs, labor rates, and market conditions.
- Identify potential project risks and develop mitigation strategies to reduce financial exposure.
- Ensure compliance with industry standards, safety regulations, and company policies.
Documentation & Reporting:
- Maintain detailed records of all estimates, proposals, and bid-related correspondence.
- Track bid outcomes and prepare reports on estimating performance, success rates, and market insights.
- Continuously refine and improve estimating processes based on bid results and feedback.
Requirements:
Education & Experience:
- Bachelor's degree in Mechanical Engineering, HVAC Technology, Construction Management, or a related field preferred.
- Minimum of 7-10 years of experience in HVAC estimating, project management, or design, with at least 3 years in a leadership role.
Technical Knowledge:
- Strong understanding of HVAC systems, components, and design principles.
- Proficiency in reading and interpreting blueprints, specifications, and technical documents.
- Experience with HVAC estimating software (e.g., FastEST, QuoteSoft, or similar platforms).
- Familiarity with project management tools and cost-tracking systems.

- Effective communication skills for working with clients, vendors, and internal teams.
- Ability to manage multiple projects and deadlines in a fast-paced environment.
