Overview

The Chief of Operations, COO" will work alongside the Executive Director and the school leadership team to achieve operational success at Ambition Prep. The COO is a member of the school's executive team and is responsible for operational quality, financial stability, strategic quality focused on innovation and efficiency, and implementation of best practices. Operational quality is a determinant factor in the success of Ambition Prep and our students. The COO ensures that all school staff are using their limited time and resources in the most efficient manner possible; that the physical space and environment facilitates enhances excellent teaching and learning; that obstacles to academic achievement are anticipated and avoided; and that staff, students, and families are able to maintain focus on learning and growth in every moment. The COO manages the business and operation team members in order to create, implement, and refine systems to maximize the power and efficiency of these resources in the service of our mission.

Responsibilities and Duties

1. Management

a. Manages various members and leaders of the Ambition Prep operations and business team.

b. Builds the capacity of the Ambition Prep team through consistent delegation, development, and coaching

c. Manages external vendors, including but not limited to back office providers, contractors, and insurance providers

2. School Leadership

a. Works with the Executive Director and leadership team to make high-level decisions.

b. Helps create and implement the strategic vision for the school.

c. Problem solves as required; protects the instructional leadership team's time by addressing issues as they arise.

3. Organizational Partnerships

a. Ensure strong partnership and alignment on key priorities with the Executive Assistant in

order to effectively support the ED

b. Ensures regular correspondence with families regarding school policies, updates, events, and milestones.

c. Oversee recruitment initiatives and support the student recruitment and enrollment process, ensuring that recruitment goals are met and students are enrolled in an efficient, accurate, and compliant manner.

4. External Relations

a. Acts as a representative of Ambition Prep in the community.

b. Makes new connections with community partners and manages relationships with external organizations.

c. Support, plans, and leads various events throughout the year.

5. Human Resources

a. Work with human resource staff and organizational leaders to provide capacity for executing towards a vision for talent acquisition, onboarding, performance management, and professional development

b. Works to create a positive staff culture and teaching environment.

c. Reinforces and train staff on policies and procedures

6. Finance and Budgeting

a. Serves as the business/budget manager for the organization

b. Oversees financial systems and compliance

c. Ensures supply purchases and understands overall supply budget as well as all other department-level budgets.

d. Oversee staff managing federal and state grants to ensure grants are secured, allocated, budgeted, tracked, and in compliance.

7. School Operations

a. Alongside the Director of Operations, oversees facility and safety

b. Is responsible for the overall visual impression and cleanliness of the school and ensuring that all building decorum is maintained and reflects the Ambition Prep brand.

c. Is on-call for any security or emergency issues that may arise during non-school hours.

d. Oversees the purchase, maintenance, and inventory of technology equipment, implementation of technology training, and management of technology consultant relationships to ensure that the school has a fully functioning technology infrastructure.

e. Oversees management of food services by ensuring that food service is reliable, healthy, and efficient.

f. Works with the business team to ensure the school meets all compliance standards and is prepared for food service audits, and that claims are processed.

g. Serves as the state-required Transportation Supervisor for the school.

h. Ensures that transportation is safe and reliable and that as many transportation barriers as possible are removed.

8. Additional Responsibilities

a. Ultimately, the Chief Operating Officer is an executive leader at Ambition Prep. Therefore, the COO regularly takes on additional responsibilities and does whatever it takes to ensure Ambition Prep students and staff have what they need in order to be successful.

Requirements

Qualifications

  • Bachelor's degree, required (Master's degree preferred)
  • At least 7 years of experience in a school, regional, and/or district setting, required
  • At least 5 years of experience in management/leadership, preferably in charter schools, required
  • At least 5 years of school budget/financial management experience, required
  • Successfully pass a background check, required
  • Strong computer skills, including Google Suite and Adobe
  • Experience in working with teams and individuals to meet specific and strategic outcomes
  • Ability to perform the physical requirements of the job.
  • Alignment with Ambition Prep's mission and demonstrated belief in the ability of low-income children to excel academically and the ability of schools to be the drivers of that success.
