POSITION SUMMARY

The Controller is responsible for managing the day-to-day accounting operations and overseeing the financial health of the organization. This position will monitor department policies and procedures and make recommendations for improvements, participate in establishing and implementing major goals and objectives and serves as a resource in all aspects of accounting, and oversees general ledger, accounts payable and receivable, and fixed asset management. The Controller is responsible for assisting in grant applications and monitoring certain compliance requirements for grants received and the financial aspects of program filings, budgets, and audits.

ESSENTIAL JOB FUNCTIONS:
  • Oversees and participates in as necessary the preparation of daily, monthly, annual, and other periodic financial statements and reports. Ensures that external document submissions and filings are accurate and timely.
  • Coordinates tax reporting requirements. Works with external accountants to file federal, state, payroll, and other tax returns.
  • Coordinates the annual audit. Ensures that accounting records and reports are in compliance with GAAP and government regulations. Cooperates and assists external auditors as appropriate.
  • Completes reports and analyses of departmental and area operations as required by the Chief Financial Officer.
  • Coordinates accounting information systems that track specific operational and financial data.
  • Works to implement and update systems including general ledger, fixed asset management, expense management, etc.
  • Maintains internal control system.
  • Advises department leaders regarding accounting entries, reports, and comparative analyses.
  • Coordinates accounting functions with other departments. Interfaces with the IT Department in the development of the implementation of efficient systems consistent with new software applications.
  • Manages fixed assets and capital expenditures.
  • Works with department leaders to ensure proper inventory management.
  • Provides support to other departments for programs, grants, new initiatives, and other financial needs that may arise.
  • Ensures that all employees are well informed of accounting policies, procedures, and regulations.
  • Provides leadership to accounting personnel through effective objective setting, delegation, and communication. Conducts meetings to ensure that personnel is well informed of changes in programs, policies, and procedures.
  • Trains, directs, and coordinates personnel. Ensures that training and development needs are met, and aids and support as needed.
  • Conducts performance appraisals as assigned. Provides measurable feedback to accounting staff and suggestions for improved performance.
  • Formulates and implements employee corrective actions as needed.

  • SUPERVISORY RESPONSIBILITIES:

    Manages two (2) or more direct reports by providing guidance and/or oversight to employees and/or contractors. Develops and maintains roles, responsibilities, and expectations. Practices performance management in support of employee development, and perform administrative duties associated with being a people manager. Responsibilities include interviewing, planning, assigning, directing work, and resolving problems. Responsibilities also include sponsoring and participating in and/or supporting project teams sponsored by other management team members.

    QUALIFICATIONS:

    Education/Experience:
    • Bachelor's degree from an accredited four-year college or university in Accounting, Finance, or Business Management.
    • 5+ years of high-level accounting experience
    • 3+ years of supervisory experience
    • Experience in a Controller or Senior Accountant position
    • Experience managing team and monthly financials
    • Experience working with Oracle Netsuite or similar ERP system required
    • Experience working with non-profit organizations preferred
    • Thorough understanding of CapEx, fixed assets, inventory management, and variance analysis

    Certificates, Licenses, and Registrations:
    • Must have reliable transportation, a valid driver's license, and insurance (required)
    • Texas Certified Public Accountant (CPA) or CPA from a state with TX reciprocity required

    • Non-profit financial management experience including large foundation grants, federal and state contracts, and individual giving.
    • Comprehensive understanding of accounting for not-for-profit entities as well as an understanding of Federal, State, and Local Governmental reporting requirements
    • Excellent analytical skills and expertise with Excel.
    • Excellent written and verbal communication skills.
    • Payroll reporting and processing of payroll taxes.
    • General office software, particularly Microsoft Office Suite, and accounting software packages.
    • Ability to work with a diverse population.

    COMPLIANCE:

    General accounting and financial reporting procedures in accordance with the State of Texas OPM Cost Standards, GAAP, and OMB Circulars A110, A-133, and A-122 contract/grant budgeting/reporting procedures and requirements.

    Carries out responsibilities in accordance with HFB policies, and applicable federal and state laws, including the EPA, OSHA, MSDS, USDA & Texas health and safety laws, as well as grant and/or funding requirements or regulatory operating standards.

    PHYSICAL REQUIREMENTS:

The employee will need to have the average ability to hear horns, warnings, and alerts associated with a warehouse. The employee must frequently lift 10 pounds. The employee must occasionally travel to other sites for business.

    The work environment characteristics described here are representative of those employee encounters while performing the essential functions of this job. While the job is generally performed in an enclosed office environment, the employee is occasionally exposed to freezers, enclosed and/or tight spaces, wet and/or humid conditions, and areas in which moving mechanical parts, fumes, toxic or caustic chemicals are present, strong food-related smells, and outside weather conditions. The noise level in the office environment is typically quiet, but the employee will be occasionally exposed to loud noise levels (e.g., horns, fans).

    Minimal travel is required for this position (up to 10% of the time and on a domestic basis).
