JOB SUMMARY:

The Controller provides support for the finance department on a wide variety of accounting tasks. The Controller's primary responsibility will be supporting the CFO. They will also be responsible for supervising and leading the grant team and ensuring the accuracy of the accounting records. They will serve as back-up to the Accounting Operations Manager, if needed. They will ensure full maximization of grant funding including reporting and projections. This position involves handling highly confidential and sensitive information and interaction with staff at various levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload.

JOB RESPONSIBILITIES:

General Ledger, Budgeting and Reporting
  • Assist with maintenance of systems, procedures and methods for the agency's financial operations including record keeping, reporting and the general ledger.
  • Monitor general ledger activity for accuracy and enter journal entries into the general ledger.
  • Assist CFO and Accounting Operations Manager with month-end close.
  • Prepare monthly financial statements including cash flow projections.
  • With the guidance of the CFO, responsible for budget preparation including entering budget into accounting system.
  • Responsible for maintaining and updating the allocation of staff to funding sources to assure grant maximization.
  • Create and utilize reports in Abila MIP Fund Accounting.
  • Prepare ad hoc reports in a timely manner as requested.
  • Prepare monthly budget versus actual reports for program managers and the executive team for planning purposes.
  • Assist with financial audits and perform other related duties as assigned by the CFO.

Grant Management
  • Performs grants management duties grants (e.g. tracking of restricted and unrestricted income and expenses by public and private funders), monitors fiscal aspect of grant activities, and prepares financial reports/statements for funding sources.
  • Oversees the preparation and submission of monthly vouchers for public grants.
  • Monitor and review transaction entry for accuracy.
  • Works with grant team and CFO to prepare budgets and reports for funders.
  • Continuous review of grant activity to ensure grant maximization.
  • Work with grant accountants to prepare forecasts for grant periods.
  • Monitor timely receipts of funds, payments and respond immediately to any requests for additional information.
  • Reconciles and resolves discrepancies.
  • Work in conjunction with the CFO and program staff to revise grant budgets as approved by the funder.
  • Prepare monthly grant reports for program managers, program directors, and the executive director for monitoring purposes.

Other
  • Backup to the Accounting Operations Manager.
  • Responsible for adhering to the agency's document retention and destruction policy; perform other related duties as assigned by the CFO.
  • Participation on the grant compliance committee.
  • Actively participate in monthly all-staff meetings.
  • Attend professional staff trainings as scheduled.
  • Work collaboratively with agency staff and finance department.
  • Represent the agency in a professional and ethical manner.
  • Maintain an active team approach with all staff in all work-related situations and with the staff of other agencies/organizations when collaborating on shared programs/grants.
  • Supervises and mentors the grant team, including annual evaluations.

QUALIFICATIONS:
  • Bachelor of Science in Accounting or Business Administration degree.
  • At least five years accounting experience required.
  • Non-profit experience preferred.
  • No performance bond is required.
  • Must provide proof of COVID-19 vaccination.

  • Strong organizational and communication skills.
  • Competency in Microsoft Word and Excel.
  • Proficiency in accounting software (i.e. Abila MIP, or other fund accounting database).
  • Strong knowledge of generally accepted accounting principles and accrual accounting.
  • Fund accounting experience helpful

PHYSICAL REQUIREMENTS:

While performing the duties of this job, the employee is regularly required to talk or hear, sit, use hands, reach with hands and arms, stand, walk, walk up and down stairs, kneel, with the ability to lift 25 pounds.
