Job Description

SUMMARY OF DUTIES:
  • Nursing Administration
    • Log all sick call and requested time off in the sick book; remove employee from staffing sheets and inform covering ADON/A.D.N.
    • Answer all telephone calls to the Nursing office; refer calls to covering Director when needed.
    • Complete One-to-One Report every shift
    • Complete Staffing Variance Report every shift
    • Work on assigned projects designated by the Department Head or designee
    • Perform Clerical operations in an assigned area, such as filing of material and searching of files for the material difficult to locate
    • Maintaining and up-keeping of Nursing file room
    • Ability to do and/or run reports; when directed by Department Head or Designee
    • Provide coverage for Nursing office when ACM/Clerical Associates are on vacation (inputting daily staffing sheets, schedule changes, monthly schedules for ER, ICU, OR, Woman's Health, Med-Surg, OPD)
    • Generate Daily Agency Sign in sheet
  • Ensures 24 staffing coverage for Nursing Department
    • In collaboration with ADNs and HN generate monthly schedules in CLAIRVIA/KRONOS
    • Analysis staffing sheets; Generate Agency Request Form
    • With approval of ADON and CNO inputs request for agency staff into Wand System and/or recruit over time
    • Coordinates with CO/RS to provide supplemental staff for Department
  • Wand
    • From approved Agency Request enter requests, book and confirm per diem; cancel as needed.
    • Create Agency Time sheets
    • Approve Time sheets
  • KRONOS (UKG Advanced Nurse Scheduling System)
    • Will function as a Scheduler updating the scheduling for the unit (i.e. edits sick calls, lateness, jury duty, FMLAs, schedule changes, unit transfers etc.)
    • Will train and supervise Assistant Coordinating Manager and clerical staff from all Nursing Departments, ensuring they are well-equipped and informed of the new system, and be able to train others in the service line if necessary.
    • Create and generate monthly schedules and reports
  • GHX
    • Order Supplies and Material for Nursing Department as requested and approved by ADON and CNO
    • Keep track of Purchase Requisitions that are forwarded to Purchasing Department and do following-ups as needed.
  • Additional Duties /Responsibilities:
    • Assist in the selection, orientation and training of new Clerical personnel
    • Scheduling clerical III and IV staff to work
    • Managing and Scheduling Clerical LV III and L IV personnel
    • Reviewing Time and Leave of Clerical LV III and L IV personnel
    • Initiates and/ or completes stationary, supply requisition and routine work service request
    • Actively participates in Departmental meetings/conferences.


    Minimum Qualifications
    1. A Baccalaureate Degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling, and three (3) years of full-time experience in medically-oriented health care and medical support systems environment, two (2) years of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician or three (3) years of responsible level experience in business management systems or general administration including two (2) years in a supervisory or administrative capacity.
    2. A Masters Degree from an accredited college or university in the disciplines listed in (1), and two (2) years of full-time experience as listed in (1), plus one (1) year experience in an administrative or supervisory capacity in occupations as listed in (1); or,
    3. A satisfactory equivalent combination of training, education and experience.

    Note: Certification or licensure may be required.
