The Office of the Senior Vice President for Advancement has an exciting opening for a Director for Operations and Administration. This is a full-time, permanent position.

The Director for Operations and Administration ensures the effective and efficient of operations for the Office of the Senior Vice president (OSVP) of UA by maintaining an acute focus on advancing organizational priorities and relationships. As an extension of the Senior Vice President (SVP), the Director for Operations and Administration interacts with a variety of University units as well as outside constituents and partners from local and national and institutions and communities.

This position works independently, initiating and performing complex and confidential projects, and has decision-making authority to ensure that the administrative function conforms to University Advancement best practices and UW policies. This position supervises one Administrative Specialist and student workers as needed.

What You Will Do:

Strategic Relationship Management (55%)
Oversee and ensure the effective stewardship of the SVP's portfolio of key relationships. This includes both external stakeholders such as donors, volunteers and community partners, as well as internal leaders including deans, chancellors, vice presidents and vice provosts.
Represent and serve as the liaison for the SVP and the University with various internal and external constituents. Handle inquiries and issues that arise.
Work closely with the Principal Giving and Foundation Board Engagement teams to develop and implement tailored strategies for key relationships. Maintain detailed records in the CRM system (Tandem) by documenting comprehensive contact reports and strategic action plans.
Foster relationships and employee engagement within the Advancement team by organizing and hosting events and informal gatherings in service of building a cohesive and motivated team.
Work closely with the SVP to identify strategic priorities and goals for stakeholder engagement. Develop metrics and benchmarks to measure success and report on progress regularly.
Prepare detailed reports and presentations for the SVP and other senior leaders, highlighting key achievements, challenges and recommendations for future engagement efforts.
Support strategic communication, including executive correspondence, internal Advancement communications and recognizing significant milestones.

SVP Office Oversight and Administration (45%)
Maintain a comprehensive understanding of all programs and projects within the SVP's scope to deliver high-level administrative support. Continuously monitor action plans, maintain follow-up systems, and track deadlines to ensure timely execution.
Independently manage projects that advance the organization's objectives. Working from high-level goals, define and execute strategy and tactics, engaging with individuals within and beyond the organization.
Oversee and delegate calendar management tasks to the Administrative Specialist. Ensure the OSVP is thoroughly briefed on all agenda items and provided with necessary materials.
Develop and maintain an organization-wide calendar of key Advancement events. Ensure dates are on the calendars of Executive Strategy Team members, and partner with the Advancement Communications team to disseminate information to the entire Advancement organization.
Ensure a professional and welcoming environment for all visitors to the office by coordinating front desk staffing and administrative support.
Ensure management of the shared email inbox of the OSVP, partnering with the Administrative Specialist to expertly triage messages and ensure prompt, effective responses to all inquiries.
Provide comprehensive support to the Advancement organization by orchestrating the logistics and execution of all-UA meetings and events. Oversee all aspects of on-site event management, including planning, setup, breakdown, volunteer management, and real-time problem resolution.
Oversee the OSVP's operating budget, including managing requests to the SVP Opportunity Fund.

MINIMUM REQUIREMENTS

Bachelor's degree AND a minimum of four years of experience providing project management or administrative support to executive leadership.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Proven ability to work with high-level volunteers, donors and organizational leadership.
Exceptional written and verbal communication skills.
Demonstrated mastery of Microsoft Office suite of productivity and collaboration tools. General familiarity with both Mac and PC systems.
Ability to work in a fast-paced, multi-faceted environment.
Ability to safeguard sensitive and confidential information with the highest level of discretion and professionalism.
Demonstrated project management skills with the ability to manage multiple, competing priorities.
Experience working in higher education and/or institutional advancement is preferred.

This is an onsite role.
Cubicle/Open workspace environment which may result in additional or higher levels of noise and visual distractions.
Ability to work evening and weekend hours, as necessary, on short or limited notice.
Must have valid driver's license and flexibility to occasionally travel locally on short notice. Ability to lift
Ability to lift 20 pounds regularly and up to 40 pounds occasionally for event setup and tear down.
