POSITION OVERVIEW

Job Title: Director of Asset's & Maintenance

Reports To: VP of Property Management

Direct Reports: Grounds Supervisor, Projects Foreman, (2) Maintenance Supervisors

FSLA Status: Exempt

JOB SUMMARY: The Director of Asset's & Maintenance owns the condition of all physical assets under the management of Uptown Rental Properties. They are responsible for overseeing the strategic management of Uptown Rental Properties physical assets, including developing and implementing comprehensive maintenance plans to ensure optimal asset performance, reliability, and lifespan. Additional responsibilities include managing insurance claims, governmental compliance, vendor management, and contract management.

1. Physical Asset Quality Ownership: Owns the condition of all physical assets under the management of Uptown Rental Properties to ensure agreed upon quality standards are achieved. 40%

2 Standard Operating Procedure Management: Establishes and manages company-wide adherence to asset maintenance processes, systems, and procedures to ensure consistency and continuous focus of asset quality. 20%

3 Vendor Management: Develops and manages key vendor and supplier relationships to ensure a quality service is delivered by 3rd parties in a cost-conscious manner. 20%

Note: Twenty percent of time is reserved for ancillary activities, interruptions, and unplanned events.

Interpersonal Responsibilities

1. Leads the organization to set expectations of the asset physical condition and ensure that the property conditions meet the ownership expectations. Collaborate with the property management department to find the balance between spending and customer expectations.

2. Leads the hiring process of new hires, reports, trains new employees, coaches and develops staff by providing timely feedback on productivity and work quality; delegates overtime; tracks and approves labor hours, vacation time and absences; conducts performance reviews and oversees disciplinary actions as needed.

3. Works in collaboration with the systems Coordinator to optimize operational efficiencies and leverage internal systems to support improvements.

Operational Responsibilities

1. Identifies and drives continual improvement of facilities maintenance operations to ensure long-term scalability and sustainability of physical assets.

2. Maintains and manages aging systems including expected replacement for major building systems such as roof, boiler, paving etc., keeping ownership abreast of changes to ensure proper cost planning.

3. Leads the annual Capex meeting, providing insight, advice, and guidance, providing leadership on the progress of Capex throughout the year regarding schedules and variances in budget.

4. Oversees the master project schedule including but not limited Capex and other major projects in collaboration with the Project Foreman.

5. Sources and vets vendors to complete work outside of Uptown Rental Properties' internal capabilities including but not limited to unit turnovers of conventional and student assets; negotiating and preapproving large scale or repeat vendor contracts and prices, and managing quote and bid process.

6. Creates and manages processes for vendor relationship management and vendor governance.

7. Acts as a company-wide technical and operational resource, providing advice, guidance, and/or resources to solve problems and issues that arise regarding building systems and other operational components.

8. Collaborates with the property management and development team to accept properties into the property management portfolio. Creates and implements operational acceptance process for developments and acquisitions.

9. Oversees the company-wide training programs for maintenance employees.

10. Approves the expenditure of direct reports that falls outside of assigned thresholds.

11. Stays abreast of new products available to optimize the sustainability of the assets with Uptown Rental Properties' portfolio.

12. Stays abreast of local, state, and federal property compliance requirements and implements programs to ensure our buildings stay compliant and mitigate risk.

13. Oversee the management of field operations including landscape, snow removal, and custodial/grounds activities for entire portfolio, including vacant lots/buildings.

14. Oversee the preventative maintenance programs for both unit and property components for all Uptown Rental Properties assets.

15. Oversee the organization's on-call maintenance programs for all assets under management.

16. Oversees fleet management programs for all company vehicles.

17. Oversee the organization's operational & maintenance vendor contracts and the processes relating to them.

18. Visits properties throughout the year and assesses the general physical condition of the building systems, housekeeping, and grounds. Confirms effectiveness and efficiency of property management staff. Identifies and implements improvements to curb appeal and marketability.

19. Maintains and manages all "advanced" building systems for assets including but not limited to elevators, fire suppression, post tensions deck, retaining walls etc.

Organizational Responsibilities

1. Works in partnership with the VP Property Management to ensure asset financial forecasts and budgets are proactively managed.

2. Creates and ensures adherence to policies and procedures within property maintenance operations.

3. Communicate with city officials to remain in compliance with property codes and standards and remedy any issues that may arise within them.

4. Designs, implements, and manages preventative maintenance programs for all properties under management.

5. Manages company-wide inventory programs related to property maintenance including tools, equipment, and stock items.

6. Manages the organization's fleet maintenance and safety programs.
