Motional is seeking a highly organized, detail-oriented and adaptable Document Control Manager to support the wider business from within the Enterprise Safety & Quality Team. The Enterprise Safety & Quality Team oversees the implementation of our business wide Safety (SMS) and Quality (QMS) Management Systems. We are looking for a Document Control Manager that will support the continual development of our document management tools and processes while ensuring critical pieces of information are appropriately kept under control.

As an Document Control Manager you will be responsible for ensuring our document control strategy is set and that continual tactical control is maintained. This role reports to our Senior Quality Systems Manager.

Primary Purpose:

The Document Control Specialist:
  • Establishes and maintains a centralized, formal document control and records management system for storage, retrieval and governance of company documentation
  • Over sees a process and system that satisfies certification / compliance , customer-specific, and corporate requirements.
  • Supports the business and its functions in managing and controlling all critical pieces of documentation
  • Sets and maintains documentation standards

Essential Duties:
  • Establish, Maintain and optimize a document management systems (DMS) and related software / platforms / processes
  • Develop and implement document management policies, procedures, and best practices.
  • Defining and managing workflows for efficient effective user engagement
  • Manage document control processes, including version control, approvals, and security protocols
  • Oversee the classification, storage, and retrieval of documents in alignment with company needs and compliance requirements
  • Maintenance of Master Document database and Document Change Request Log
  • Maintenance of Document Control Center libraries (centralized)
  • Maintenance of Records Center for archival of documentation
  • Document / Data entry/review for accuracy and completeness
  • Document / Data analyst for metrics/trending/reporting
  • Ensure documents comply with legal, regulatory, and industry standards where applicable
  • Collaborate with IT and security teams to ensure data protection and access control.
  • Drive continuous improvement initiatives to enhance document workflows and efficiency.
  • Perform audits and quality checks to maintain document integrity and accuracy.
  • Training of others is the utilization of our systems and process

This role is Hybrid, with a requirement of being in the office 2-3 days a week.

Qualifications:

Educational Requirements

Bachelor's degree in Information Management, Business Administration or related Engineering Subject

Technical / Specialized Knowledge, Skills, Abilities
  • 5+ years of experience in document management, records management, or information governance.
  • Strong knowledge of document control principles, regulatory requirements, and compliance standards
  • Proficiency in document management systems (DMS) such as AODOCs, SharePoint, OpenText,3D Experience, Siemens Team Centre, Gitlab, JAMA, Polarian or similar platforms.
  • Proficiency in productivity tools such as gsuite, Microsoft Office, Atlassian JIRA / Confluence
  • Awareness / experience with Quality Management Systems such as: ISO9000, AITF16949, AS9100
  • Excellent organizational and project management skills.
  • Ability to lead initiatives and work collaboratively across departments.
  • Strong attention to detail with a commitment to accuracy and security.
  • Experience in a technology-driven environment preferred
  • Experience developing, improving and implementing processes in complex start up environments
  • Strong analytical skills; Comfortable working with large amounts of data
  • Ability to work in a highly ambiguous environment across multiple locations
  • Customer focused mindset

Salary Range

$84,000-$109,400 USD
