Overview

Under the general direction of the Epic Program Director, the Epic Program Manager is responsible for the day-to day program administration of Central Health's Electronic Health Record (EHR) system. Responsibilities include developing and managing organizational processes for monitoring Epic-related issues, change requests, upgrades, projects, and third party vendors & integration. The Epic Program Manager will also develop, promote, and represent Central Health's EHR strategic initiatives at the enterprise level, while also collaborating closely with key enterprise stakeholders to ensure continued EHR system optimization. This role is also responsible for the establishment and oversight of Epic Workgroups as needed while collaborating with enterprise stakeholders to jointly coordinate and support elements of the enterprise's Epic Governance Structure. Project management duties will be a large component of this position by serving as a project manager for Epic module implementations, acting as a liaison and facilitator of Epic team efforts with the project managers in the PMO and working closely with the Epic Training Supervisor and Epic Analyst Supervisor on internal team projects.

Responsibilities

Essential Functions
  • Organizes and coordinates efforts to ensure successful deployment and on-going use of Central Health's Service
  • Area(s) in Epic in collaboration with the Epic Program Director.
  • Creates project plans and other project-related documents as needed to support Epic implementations.
  • Collaborates closely with the Epic Analyst Supervisor and Epic Training Supervisor to ensure projects have appropriate resources allocated.
  • Works directly with Epic Application Analysts and Epic Training Specialists to ensure that project work is completed, documented and communicated.
  • Functions as Epic team liaison to the Project Management Office to ensure that Epic team considerations are built into PMO-led project plans and help validate the status of the Epic's team's work and Go-live support plans.
  • Applies project planning and project management methodologies.
  • Supports the Epic Program Director and the Epic Governance Committee members by ensuring that project plans, issue logs, risk analyses and schedules for Epic related projects are maintained.
  • Assesses project issues and recommends resolutions to EAC and/or EGC to meet productivity, quality, and enduser satisfaction goals.
  • Works with internal and external business/operational stakeholders and SMEs to ensure there is clear understanding of Epic guiding principles and business/operational benefits to Epic-related projects.
  • Escalates executive and director level decisions and risks as well as operationalizes decisions and direction from the Epic Governance Committee (EGC) and the Epic Advisory Council (EAC).
  • Works with operational leaders to develop and maintain Epic Workgroups to monitor their department's Epic issues, changes and projects.
  • In partnership with Central Health and CommUnityCare application analyst leadership, maintains/optimizes Epic change management processes. Ensures consistency and ongoing adherence to change management processes.
  • Monitors agreements with Epic related third-party vendors.
  • Supports the analysis of clinical/business requirements related to Epic applications.
  • Ensures coordination of system testing and execution to ensure application are anticipated and mitigated.
  • Facilitates communication between IT, clinical and operational teams.
  • Coordinates work with third-party contractors/consultants/auditors.
  • Supports Epic Program Director in preparing progress and status update reports to Central Health Executive Team members.
  • Communicates with assigned Epic account representative and stays up to date on items that would have an operational or technical impact.
  • Stays up to date with Epic innovations, releases and announcements and apprises organization leaders of forthcoming enhancements/changes.

Qualifications

MINIMUM EDUCATION: Bachelor's Degree (higher degree accepted)

PREFERRED EDUCATION: Master's Degree (higher degree accepted) computer science, information systems, business/administration or a healthcare related field

MINIMUM EXPERIENCE:
  • 5 years experience in a healthcare organization.
  • 2 years experience with Epic as an end user, analyst, trainer or project manager.
  • 2 years project managment experience


Preferred:

Project Management Professional (PMP) Certification
