Reports To: Events Coordinator (or designee)

FLSA Status: Exempt

School Classification: Classified

Pay Schedule: Range 8 ($68,548 - $92,705) (prorated to reflect an 11 month salary)

Work Schedule: 11 months

Location: Onsite and Remote Office

Position Summary: The events manager will research, plan, implement, and chaperone all school field trips at various locations within southern California. The position also researches, plans, implements, and executes all school events. If the events are in-person, the position will attend the event.

ESSENTIAL FUNCTIONS and RESPONSIBILITIES

Events Coordination:
  • Develops and facilitates the process for students and parents to sign up for educational trips using the systems in place (School Pathways, OPS, Google docs, and other programs as needed)
  • Completes, updates, and trains the entire field trip process as listed below:
  • Ensures that necessary community providers are approved prior to setting up field trips;
  • Calls community providers to schedule trips that meet the educational needs of our students;
  • Ensures that a sufficient number of chaperones attend each trip;
  • Informs chaperones of their responsibilities;
  • Sends out information via the parent and staff group emails regarding the trips;
  • Sends out reminders before each trip with all pertinent information;
  • Closes out the trip;
  • Facilitates on-time payment for each trip;
  • Ensures that all related policies and procedures within the safety plan are followed throughout the process
  • Reviews field trip documents and information to ensure completion and accuracy
  • Answers teacher and parent questions regarding field trips and events via email and phone
  • Works with community providers as needed
  • Writes articles as needed for staff monthly agenda
  • Updates, stays abreast of, and upholds the the current board approved field trip policy
  • Plans, executes, and attends all PLA, VLA, ALPS, and High school field trips as the lead chaperone. The appropriate number of field trips will be determined by the school and will take place in various locations around southern California (Orange, Riverside, San Diego, San Bernardino, Ventura, and Los Angeles counties)
  • Plans and implements all virtual and in-person events, as determined by the school
  • Researches and books all Physical Fitness Test (PFT) locations
  • Performs other duties commensurate with the functions and level of the position and assists with other department events as needed
  • Attends local PLC meetings on a monthly basis


  • Other Duties:
  • Responds to non-urgent communication within 24 school hours and urgent communication within two school hours
  • 2. Documents and refers to the school's management all formal disciplinary actions involving students; supporting management with addressing and resolving complaints from students and parents in a timely manner; ensuring compliance with the provisions of California Penal Code Section 11166 (Child Abuse and Neglect Reporting Act)
  • Performs other duties as assigned


  • QUALIFICATIONS GUIDE

    Education & Experience:
  • High School diploma or equivalent required, Bachelors is preferred
  • Experience in planning social events, either virtually or in-person is preferred
  • Event planning certification a plus
  • Experience working in an educational environment is desirable


  • Other Qualifications:
  • State and federal fingerprint clearance (LiveScan) to work with students (Ed. Code 44237). No prospective employee can report to work without this clearance being received and Human Resources notifying the immediate supervisor of this clearance.
  • Proof of a clear TB Tine test or signed Certificate of Completion dated within the last 60 days (Ed. Code 49406) upon employment and thereafter updated every four years
  • Hold and maintain a valid California Driver's License; proof of automobile insurance; and full time use of a dependable automobile that is insured pursuant to California regulations.
