This position will require physical presence in Proskauer's offices on a regular basis (at least 3x per week, or more, if it becomes the policy of the Firm or as business needs require). The anticipated compensation for this position is $80,000 - $100,000. The actual salary offered will be based on a number of factors, including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.

Responsibilities
- Independently manage live and virtual events. Liaise with multiple teams within the Client Development Department to seamlessly produce a cohesive event that targets the stakeholders' goals.
- Event production to include, site research and selection, contract negotiation, run-of-show production, branding, audio visual set-up, registration management, vendor selection, follow-up materials, post-event data management and attendee analysis.
- Build and distribute invitations, mailers, and calendar appointments.
- Maintain and monitor event registrations and create and distribute registration and attendance reports (using our CRM database).
- Develop and maintain working relationships with industry venues, event contacts and vendors.
- Maintain database of new event venues to use as an on-going resource when planning various live events. Provide venue suggestions to stakeholders as requested.
- Use project management skills and tools, such as timelines, budget worksheets, agendas and event schedules, to define and communicate meeting parameters and ensure that defined policies and procedures are implemented to ensure flawless execution.
- Administrative responsibilities included but not limited to; vendor invoicing, CRM system data entry post-event to accurately capture audience and follow up opportunities, maintaining scheduling surrounding events, procure and maintain logs of promotional materials.
- Lead and onboard junior team members on best practices for Events
- Build and adhere to event budgets based on project goals and Firm policies
- Use analytical data and reporting to provide strategic recommendations to stakeholders and team members during planning process
- Creatively plan and execute events that result in positive attendance and reach stakeholders' goals.
- Assist with inventory management of company-branded gifts and giveaways by budgeting for, researching and recommending items that appropriately and effectively promote brand awareness.
Qualifications
- Bachelor's degree in marketing, Communications or Business preferred.
- Minimum of five years' experience in event planning
- Energetic, motivated and detailed-oriented
- Proficiency with Microsoft Office
- Excellent verbal and written communication skills to confidently work with all levels of lawyers, senior management, clients, etc.
- Multi-task, meet multiple tight deadlines and perform well under pressure.
- Strong project management, organizational, problem-solving and analytical skills
- Well versed in virtual platforms such as WebEx and Zoom
- Knowledge of Vuture, InterAction, or other contact management database is preferred.
- Comfortable with online tools for event production; Knowledge of BeaconLive and Cvent a plus
- Must be a team player who enjoys interacting with people.
- Maintain a responsive, organized and strong ability to multi-task work ethic.
- Must be able willing to work outside of normal business hours with the flexibility to travel within New York City to advance and or staff off-site events.
