Health Link, a respected Home Health Agency in the San Francisco Bay Area, is seeking a proactive, highly motivated, and energetic Executive Assistant to join our dynamic team. Position Overview
As the Executive Assistant to the Director of Patient Care Services (DPCS), you will play a vital role in supporting daily operations, managing key initiatives, and ensuring seamless program execution. You'll be a cornerstone of the executive team, acting as the primary point of contact for the DPCS and assisting in the smooth operation of the agency. The ideal candidate is a highly organized self-starter who thrives in a fast-paced environment, excels at multitasking, and can handle complex responsibilities with minimal supervision.

Key Responsibilities

Program Management & Support:
Oversee and track the progress of departmental goals and initiatives.
Lead and manage ongoing projects, ensuring alignment with the Director's vision.
Provide guidance and mentorship within the assistant team, offering support across departments as needed.
Maintain a pulse on all relevant projects and assignments to ensure timely completion.

Schedule & Administrative Support:
Prioritize complex schedules, meetings, and tasks using sound judgment and foresight.
Proactively manage the Director's calendar, anticipating needs and ensuring efficient use of time.
Handle a wide array of administrative duties, including phone, email, and mail correspondence.
Organize contacts, manage electronic files, and maintain up-to-date records.
Manage payroll reports and track day-to-day activities across multiple teams.

Communication & Relationship Building:
Represent the DPCS with diplomacy and professionalism in meetings and communications.
Handle confidential and sensitive information with the utmost discretion.
Collaborate effectively with cross-functional teams and staff at all levels.
Draft clear and consistent communications, presentations, and strategic initiatives on behalf of the DPCS.
Foster positive relationships with colleagues and provide advisory support to managers across departments.

Qualifications & Skills
2+ years of administrative experience in a fast-paced, high-pressure environment.
Home Health or healthcare industry experience is highly preferred.
Proficiency in Microsoft Office, Excel, PowerPoint, Google Workspace, and Keynote. Ability to quickly learn new software applications.
Strong experience with presentation design and delivery.
Solid understanding of operational processes and workflows.
Exceptional interpersonal skills with high emotional intelligence and a diplomatic approach.
Impeccable organizational skills and attention to detail.
Demonstrated ability to remain calm under pressure while handling multiple competing priorities.
Strong initiative, professionalism, punctuality, and follow-through.
