Seattle-based AI startup transforming retail customer experiences is looking for a strategic Executive Assistant to support their CEO. With their recent Series A, this is a great opportunity to join a fun, collaborative team of 23 and contribute meaningfully to building something extraordinary! You will be a partner to the CEO, managing priorities and tasks, communications, and follow-throughs while ensuring seamless execution of daily operations such as meeting support, planning team events and offsites, overseeing calendar and travel logistics, and some light personal assistance including coordinating medical appointments, researching specialists, and managing occasional personal projects. Someone with experience in a fast-paced startup environment who excels at managing up, taking ownership, and strategic prioritization - regularly presenting organized to-do lists, aligning daily activities with quarterly/annual goals, and having the confidence to reprioritize when necessary. This is a hybrid role 2-3+ days/week in their office based in downtown Seattle. 100-130K+ DOE + equity, 100% benefits, flexible PTO, and fun team events & off-sites.

Responsibilities:
  • Manage the CEO's inbox, ensuring timely follow-ups, drafting and responding to emails on their behalf, and maintaining organized communication workflows.
  • Prioritize executive time by understanding strategic initiatives and ensuring focus on high-value meetings and projects.
  • Oversee scheduling, calendar management, and travel coordination to optimize efficiency.
  • Plan and execute client events, team activities, and company-wide initiatives, ensuring seamless logistics and execution.
  • Support administrative functions related to HR, including onboarding new hires and maintaining employee records.
  • Provide personal support, including appointment scheduling, coordinating errands, and managing personal tasks as needed.
  • Facilitate clear and effective communication within the team and with external stakeholders by organizing updates and tracking key deliverables.

Qualifications:
  • 3 years of experience as an Executive Assistant or similar role in a fast-paced, dynamic startup environment.
  • Resilient, adaptable, and eager to grow in a high-energy environment.
  • A proactive problem-solver with a resourceful mindset and the ability to anticipate needs.
  • Strong organizational skills with the ability to manage multiple priorities and adapt to shifting demands.
  • Ability to work independently while also being a strategic thought partner, ensuring executive goals remain on track.
  • Comfortable with productivity and collaboration tools such as Google Workspace, HubSpot, Notion, and billing platforms.
  • Effective communicator who can set clear priorities, manage expectations, and maintain transparency in workload management.
