Executive Assistant to the CEO

About the Role

Are you an experienced and proactive Executive Assistant looking to support a dynamic and fast-paced executive? We are seeking a highly organized and detail-oriented Executive Assistant to the CEO who will play a crucial role in ensuring the smooth operation of both professional and personal aspects of the CEO's life.

This role requires exceptional communication, problem-solving, and time management skills. The ideal candidate will be a strategic partner who can anticipate needs, manage complex schedules, and maintain discretion while handling confidential matters.

Key Responsibilities
  • Calendar & Scheduling: Manage and optimize the CEO's schedule, prioritizing key meetings, deadlines, and commitments while ensuring efficiency in daily operations.
  • Meeting & Event Coordination: Prepare agendas, coordinate materials, track action items, and organize internal and external meetings, events, and speaking engagements.
  • Travel Management: Plan and coordinate all travel logistics, including flights, accommodations, and transportation, ensuring seamless itineraries for both business and personal travel.
  • Communication & Correspondence: Act as a gatekeeper for all incoming communications, screening emails, calls, and requests while ensuring timely follow-ups and decision-making.
  • Expense & Budget Management: Process and track expense reports, monitor spending, and coordinate with Finance for reimbursements and budget oversight.
  • Special Projects: Support research, reporting, and execution of strategic initiatives as directed by the CEO.
  • Document Preparation & Organization: Draft, edit, and manage various documents, including presentations, reports, and correspondence.
  • Liaison & Relationship Management: Serve as a primary point of contact between the CEO, executives, staff, clients, vendors, and external stakeholders.
  • Confidentiality & Professionalism: Handle sensitive and confidential information with absolute discretion and integrity.

What We're Looking For
  • Highly organized and detail-oriented with the ability to manage multiple priorities in a fast-paced environment.
  • Proactive and resourceful, with the ability to anticipate needs and take initiative without constant direction.
  • Strong communication skills, both written and verbal, with the ability to interact effectively at all levels.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Suite.
  • Strong problem-solving abilities and a strategic mindset.
  • Ability to handle confidential information with professionalism and discretion.

Qualifications & Experience
  • Education: Bachelor's degree or equivalent experience required.
  • Experience: Minimum of five years of executive-level administrative support, preferably in a high-paced or entrepreneurial environment.
  • Preferred: Experience handling both business and personal matters for a C-level executive.
