Compensation: $90,000 - $95,000 / year

Description

We are seeking a highly organized and detail-oriented Executive Assistant to support our Chief Information Officer (CIO) and our IT team. The ideal candidate will assist with the daily operations of the IT department, providing administrative support to ensure the smooth and efficient functioning of the team. This role involves managing schedules, coordinating meetings, handling correspondence, maintaining records, and assisting with IT-related projects. This is a hybrid position working 3 days a week in our Washington DC office.

Responsibilities and Duties:

Administrative Support:

  • Assist IT managers and team members with daily administrative tasks.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare and edit correspondence, reports, and presentations.

Documentation & Record-Keeping:

  • Maintain and organize IT department documentation, including project files, vendor contracts, and equipment inventories.
  • Ensure accurate and up-to-date records are kept for software licenses, IT assets, and maintenance contracts.

Communication:

  • Serve as the primary point of contact for internal and external communications related to the IT department.
  • Handle inquiries, direct calls, and manage emails.
  • Assist in preparing and distributing internal communications, such as memos and newsletters.

Project Assistance:

  • Support IT project management by tracking project timelines, updating status reports, and coordinating project meetings.
  • Assist with procurement processes, including obtaining quotes and managing purchase orders for IT equipment and services.

Event Coordination:

  • Organize and coordinate team meetings, trainings, and other IT-related events.
  • Arrange logistics for team-building activities and off-site meetings.

Inventory Management:

  • Monitor and manage office supplies and IT-related inventory.
  • Coordinate with vendors for the purchase and maintenance of IT equipment.

Compliance & Security:

  • Assist with the implementation and documentation of IT policies and procedures.
  • Ensure compliance with data security and confidentiality protocols.


Education and Experience:
  • High school diploma or equivalent required; Associate's or Bachelor's degree in a related field is a plus.
  • 2+ years of administrative experience, preferably in an IT or technical environment.
  • Experience with project coordination and documentation management. - Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Problem-solving skills and the ability to work independently.
