Key Responsibilities:
- Calendar Management: Manage the CFO's schedule, including arranging meetings, prioritizing appointments, and coordinating internal and external events.
- Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and itineraries; handle expense reports and reconcile travel expenses.
- Meeting Preparation: Prepare agendas, briefing documents, and presentation materials; take detailed minutes and track follow-up items to ensure timely completion.
- Communication: Serve as a key point of contact for the CFO, handling inquiries, drafting correspondence, and communicating on behalf of the CFO when required.
- Project Support: Assist with finance-related projects, track deadlines, and ensure timely completion of deliverables; coordinate interdepartmental communication and follow-ups.
- Confidentiality Management: Handle sensitive information with a high level of discretion and confidentiality, especially regarding financial data and executive communications.
- Document Management: Organize and maintain critical documents, reports, and files; assist in preparing financial reports and presentations.
- Administrative Tasks: Support day-to-day administrative tasks, such as expense reporting, document scanning, filing, and office supply management.
Qualifications:
- Experience: Minimum of 2 years of experience as an Executive Assistant, ideally supporting C-suite executives in a corporate setting.
- Education: Bachelor's degree preferred; a background in finance or business administration is a plus.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with financial software and collaboration tools (e.g., Concur, SAP, or Microsoft Teams) is an advantage.
- Interpersonal Skills: Excellent communication skills, both written and verbal; able to build and maintain relationships with executives and stakeholders.
- Organization & Prioritization: Superior organizational skills with the ability to prioritize tasks, manage multiple deadlines, and handle competing demands.
- Attention to Detail: Strong attention to detail, especially when managing schedules, reports, and confidential information.
- Problem-Solving: Proactive approach with a solutions-oriented mindset; able to anticipate the CFO's needs and address issues before they escalate.
