Overview

LSAC's mission is to advance law and justice by promoting access, equity, and fairness in law school admission and supporting the learning journey from prelaw through practice.

Pay rate: $44/hour to $50/hour, depending on experience

The Executive Assistant handles a variety of administrative duties requiring sound independent judgment, discretion, and the maintenance of confidentiality. The Executive Assistant independently and proactively provides a full range of high-level administrative support to the President and CEO ('President') using strong organizational skills, attention to detail, ability to anticipate needs, and problem-solving acumen to create an environment of maximum effectiveness and efficiency for the President. The Executive Assistant may also provide general administrative support for projects and programs at the discretion of the President.

The person in this role must be able to interact with all members of the LSAC community, including executives, upper-level management, business partners, and colleagues in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, calm, resourceful, and efficient. This position requires a professional demeanor, sense of urgency, results-focus, technology competence, and the ability to keep sensitive business information strictly confidential.

Responsibilities

Essential Job Functions

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this position. The individual employed in this position will be required to:

  • Schedule meetings, appointments and events ensuring understanding of President's priorities to use appropriate discretion and judgment in effective scheduling and resolution of scheduling conflicts.
  • Proactively coordinate materials for upcoming meetings looking 4-6 weeks in advance, researching background information, and assisting with previous meeting follow-up. Assists in developing and compiling background materials for meetings, drafting meeting agendas, taking meeting minutes and ensuring follow up items.
  • Monitor President's project deadlines and adjust President's calendar to meet those deadlines as appropriate.
  • Prepare draft correspondence on behalf of the President and complete special projects within specified timetables after an initial briefing. Develop and/or edit various PowerPoint presentations for events and meetings.
  • Make travel arrangements and create detailed itineraries (domestic and international), prepare related expense reports and reimbursements.
  • Screen, review, prioritize and organize documents (mail and email) received; make initial determination concerning importance of contact and proper action to be taken; draft email responses; prepare outgoing mail for shipping/mailing; and maintain office supply inventory and requisition. Procure office supplies, facilitate office transactions, and manage subscriptions.
  • Screen incoming telephone calls. May also place outgoing telephone calls to achieve results necessary for management projects.
  • Recommend improvements to organizational operating policies and procedures for review. Organize and maintain effective tracking and maintenance of office documents produced and received via manual and/or computerized tracking systems. Design and maintain databases and spreadsheets to track various initiatives.
  • Coordinate administrative support resources across LSAC and provide recommendations for cross-departmental support when business demands require additional resources in different departments. Assess skill set of administrative team members and work with HR to develop and provide professional development opportunities as needed.
  • Review completed documents to ensure correct terminology, spelling, punctuation, and grammar; maintain files; extract information from various databases and input new information as appropriate; manage projects as assigned.

Qualifications

Education and Experience

  • High school diploma or equivalent required. Some college level course work preferred.
  • Minimum of 5 years' experience in a fast-paced office environment, preferably as an executive administrative assistant, office manager, or in a role with similar responsibilities.
  • Demonstrated experience in execution and accountability for project management.
  • Database management, spreadsheet and presentation software experience required.
  • Experience with editing/creating digital communications including email, documents, presentations, and other work product that is accessible and compliant with Web Content Accessibility Guidelines (WCAG) 2.1 standards or a willingness and aptitude to learn WCAG 2.1


Additional Information

Supervisory Responsibilities

This role does not have people management responsibilities.

Position Type

This role is a full-time position with a standard workweek of Monday through Friday, 8:30 a.m. to 4:45 p.m. ET. The position may require overtime or weekend work.

Work Environment

This job operates in a remote and professional office environment. Whether remote or in-office, this role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Travel Requirements

There is limited travel (less than 5%) expected for this position.

Physical Demands

Special Conditions or Requirements

This position may be asked to occasionally work weekends.
