Job Description
Your Role
The Executive Assistant will work with the team's lead Executive Assistant to provide administrative support for the Invesco Private Credit Team. The lead EA will provide guidance, support and day to day direction for the EA team & this position.
You Will Be Responsible For:
Travel & Expenses:
- Domestic and International travel with multi country and Multi city stops, including car services as needed, hotel and air bookings.
- The successful candidate will partner with and take direction from the lead Executive Assistant to ensure that the team's travel needs are well coordinated and organized.
- This includes working together to ensure that complete itineraries are presented in a consolidated and chronological manner; that schedules are current; and that updates are provided daily.
- Assist with processing of required visa(s) for team's passports for upcoming trips.
- Filing and retrieving documentation for Visas for multiple countries across a diverse group of nationalities/citizenships.
- Gather, prepare, and execute expense reports for the team as assigned and needed.
Calendar :
- Candidate will partner with the lead EA to keep individual and team calendars updated and will play an integral role in scheduling meetings globally.
- Will be responsible for managing calendars in multiple time zones.
- This role would manage a roughly 5 calendars' directly, but will expand coverage as directed/needed.
- Routine review of calendars to check for accuracy of logistics; guest names in Proxy Click, conference room bookings etc.
- Full coverage and support of the lead EA's teams when lead EA is on paid time off.
Skills:
- Ability to manage through multiple concurrent tasks in an environment of rapidly changing priorities.
- Detail Oriented.
- Able to work independently.
- Ability to collaborate well on a team.
- Global EA experience is a plus.
- Act with urgency with all assignments while prioritizing as necessary.
General Administration:
- Assist the entire team stay focused on most important things by actioning business and administrative issues in advance.
- Process invoices for department as requested/needed.
- Perform office duties that include ordering supplies and water supply, any maintenance issues that arise managing spreadsheets as directed by lead EA.
- Contribute to the efficiency of the area by organizing and expediting the flow of work to appropriate staff members.
- Provide support by screening and routing mail, visitors, and telephone calls; responding to requests for information and furnishing the information when possible or referring to appropriate area/person and other clerical duties, including photocopying and faxing
- Coordinate lunch orders as needed.
- Perform diverse, tactical, and confidential administrative support functions for manager.
- Other duties as assigned.
- This position requires occasional overtime.
The Experience You Bring:
- 4+ years of experience in an administrative support role. Preferably with a global finance team.
- SAP Concur or similar expense management system.
- Firm understanding of expense management.
- Sophisticated digital literacy in Microsoft Office (Word, Excel, PowerPoint) must be proficient in document management & creation with demonstrated ability to combine documents from all MS Office products & Adobe Acrobat.
