The Executive Assistant plays a critical role in optimizing executive efficiency and ensuring seamless operations across Alignment Health's leadership functions. Acting as a liaison between the President, C-suite executives, external stakeholders, and internal teams, this individual helps align executive initiatives with corporate priorities and operational imperatives.
This role requires exceptional attention to detail, strong analytical thinking, and proactive problem-solving. The ideal candidate will demonstrate superior communication skills, technological proficiency, and the ability to manage high-impact administrative and project-driven responsibilities in a dynamic environment.
The Executive Assistant will primarily support the President while also providing additional assistance to executive team members as needed to help achieve company goals and maintain operational efficiency. Responsibilities include handling confidential information, conducting research, preparing reports, and managing communications-all requiring discretion, initiative, and the ability to perform under pressure.

Minimum Requirements:

Minimum Experience:
7 to 10+ years related experience.
Education/Licensure:
HS diploma required/ Bachelors or AA degree preferred.
Other:
Excellent communication skills; advanced administrative writing skills.
Excellent customer relations and organizational skills while using office practices and procedures.
Working knowledge of Microsoft Office Products including Outlook, Word, Excel, PowerPoint and SAP/Concur.
Exercise adherence to Alignment Health's Security Policies & Procedures.
Demonstrate an excellent sense of priority, logic, objectivity, discretion, and confidentiality. Must be comfortable handling sensitive issues.

Pay Range: $85,696.00 - $128,543.00

Calendar and Event Management
- Manage calendars, coordinate meetings, and prioritize engagements based on urgency and importance.
- Optimize meeting structures by implementing agenda frameworks, follow-up protocols, and digital collaboration tools.
- Arrange corporate travel and meetings by developing itineraries and agendas, booking air/ground transportation, and coordinating lodging and meeting accommodations.
- Address inquiries and meeting requests directed to the President.
- Coordinate logistics for conferences, onsite audits, workshops, and events, including venue arrangements and participant coordination. This responsibility will be assigned once familiarity with the organization is established.
Executive Support:
- Provide comprehensive administrative support to the President and C-suite executives as needed.
- Enhance executive workflow by prioritizing engagements based on strategic importance and operational impact.
- Oversee cross-functional strategic initiatives, ensuring alignment with leadership objectives and operational milestones.
- Prepare, proofread, and finalize reports, presentations, and other key documents for executive review.
- Act as the primary liaison between the President and internal/external stakeholders.
- Support HR-related tasks, including form processing and staff review coordination.
Document Management:
- Maintain electronic and physical files, ensuring confidentiality and ease of retrieval.
- Draft, edit, and proofread documents such as policies, procedures, and reports.
- Manage Health Plan Board materials, including preparation and distribution.
- Manage Consumer Experience Advisory Committee materials, including preparation, distribution, and meeting minutes.
Executive New Hire Onboarding:
- Work with HC to collect and process all required forms for new executives, ensuring timely and accurate submission.
- Submit IT service desk tickets through Service Desk to initiate requests for equipment, applications, on-site facilities, parking permits, and badge decals.
- Coordinate first-day logistics and develop a structured first-week schedule, including training sessions, orientation programs, and key stakeholder meetings.
- Collaborate with PR and HC teams, if applicable, to develop and distribute new hire announcements and press releases, ensuring alignment with company communication strategies.
Other Responsibilities:
- Identify and implement workflow efficiencies by leveraging project management and digital collaboration tools.
- Develop standardized frameworks for executive reporting, board documentation, and internal communications.
- Enhance organizational effectiveness by recommending operational enhancements based on data-driven insights and executive feedback.
- Identify and implement workflow automation solutions to reduce manual administrative task.
- Develop standardized executive reporting frameworks, integrating PowerPoint automation tools for real-time data visualization.
