JOB SUMMARY

The Executive Business Director is pivotal in supporting the CEO's strategic initiatives and operational priorities. This position has been designed to enhance the CEO's effectiveness by providing strategic counsel, managing key projects, and facilitating communication across the organization and with the Board of Directors, Delegates, and Key Stakeholders. The Executive Business Director will work closely with senior leadership to ensure alignment with the organization's mission and goals.

DUTIES AND RESPONSIBILITIES

Leadership Support
  • Partner with senior leaders to drive organizational priorities and initiatives.
  • Lead cross-functional projects that are critical to the organization's success.
  • Ensure timely delivery of projects by coordinating with relevant departments and stakeholders.
  • Act as a trusted advisor to the CEO, providing feedback and guidance on various issues.
  • Manage the CEO calendar with meticulous attention to detail.
  • Coordinate and schedule internal and external meetings, including:
    • Finding optimal meeting times across multiple participants
    • Sending calendar invitations and tracking responses
    • Preparing and distributing meeting agendas
    • Booking appropriate meeting rooms or virtual conference links
  • Attend designated meetings, including:
    • Taking comprehensive and accurate meeting minutes
    • Documenting key discussion points, action items, and decisions
    • Capturing precise meeting notes in a clear, concise format
    • Timely distribution of meeting minutes to relevant stakeholders
  • Maintain up-to-date contact lists and communication records.
  • Proactively manage scheduling conflicts and time zone differences.
  • Send meeting reminders and follow-up communications.
  • Track and follow up on action items from meeting minutes.


Communication
  • Serve as a liaison between the CEO and internal/external stakeholders.
  • Coordinate and prepare for executive meetings, including agenda setting and follow-up actions.
  • Draft and edit reports, presentations, and communications on behalf of the CEO.
  • Facilitate effective communication within the organization to promote transparency and alignment.
  • Monitor and report on key performance indicators and organizational metrics across the organization.


Board Engagement
  • Support the CEO in fostering strong relationships with board members.
  • Assist in onboarding new board members and ensure they have the resources to fulfill their roles effectively.
  • Collaborate with the CEO and Board Chair to develop meeting agendas aligned with strategic priorities.
  • Organize and coordinate all aspects of board meetings, including scheduling, logistics, and preparation of meeting materials.
  • Work with the CEO to prepare strategic updates for the board outside of board meeting communications.


Delegate Engagement
  • Serve as the primary staff liaison to the Delegate body, ensuring consistent communication and collaboration with Service Unit Delegates and the Governance Committee.
  • Coordinate logistics and support for annual Delegate meetings, including communication, materials preparation, and event management.
  • Collaborate with the Governance Committee to ensure timely distribution of information to Delegates and support an informed and engaged Delegate body.
  • Track delegate-related action items and ensure follow-up aligns with Council policies and procedures.
  • Maintain an accurate and up-to-date list of elected Delegates and alternates. Support education and training initiatives that equip Delegates to fulfill their roles in governance effectively.
  • Coordinate Council participation in the triennial National Council Session, including delegate credentialing, travel logistics, training, and pre/post-event communications.

Minimum Qualifications
  • Bachelor's degree in business administration, non-profit management, or a related field.
  • Minimum of 7 to 10 years of experience in strategic, project management, or executive support roles, preferably within a nonprofit organization.
  • Proven ability to manage complex projects and work under pressure.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to work collaboratively and build strong relationships across all levels of the organization.
  • High level of discretion and confidentiality.
