JOB SUMMARY:

Reporting directly to the Chief Executive Officer with a dotted line to the Chief People & Impact Officer, this individual will be responsible to supporting with 3 key areas serving as the liaison of the Board of Trustees, managing government relations and supporting Executive Communications. In this role, the Executive Operations Manager & Board Liaison will partner closely with the CEO, COS and other members of the Executive Management Team.

JOB RESPONSIBILITIES:

Board Liaison
  • Serve as liaison between BBBS of NYC and trustees; maintain positive relationships and support effective communications between the Executive Office, trustees, and other divisions across the organization; Develop Board engagement plan per Trustees
  • Manage Board Meeting logistics including material compilation and distribution; Attend and produce minutes for all Board of Trustee in coordination with the Secretary of the Board; offer administrative support, as needed to Board committees
  • Effectively manage Board of Trustees correspondence and communications on behalf of the CEO and Executive Officers of the Board, as appropriate; Monitor Board communications, keep Board calendar and coordinate with assigned staff to prepare and deliver any assignments and Board reports. Ensure follow-up on Board action items; Engage with Trustees and cultivate their participation with BBBS of NYC; facilitate the deepening of Board capacity Maintain internal records and assure compliance with Board of Trustees bylaws; conduct Board of Trustees Orientation; serve as "go to" person for Trustee correspondence

Government Relations
  • Manage relationship with external lobbying firm to develop legislative strategy for BBBS of NYC and create meaningful engagement opportunities between the organization and local elected officials, New York City agencies and other leaders
  • In partnership with CEO and other leaders across the organization to develop engagement plan for elected officials and directly project manage the activities needed to secure Discretionary Funding from the New York City Council
  • Manage Discretionary Funding process including application submission, coordinating and preparing for budget meetings, and registering government contracts
  • Ensure compliance with City, State and Federal agencies; update and upload required documents as needed throughout the year to keep BBBS of NYC in good standing to receive government funding
  • Prepare, Coordinate and Participate in meetings with elected officials, local government agencies, and NYC policy makers, positioning BBBS of NYC as a thought leader and advocate
  • Supervise external policy communications; Build and maintain political and industry relationships

Executive Operations
  • Draft, edit, and produce client-ready written and visual communications (e.g. talking points, memos, presentations, regular bulletins, etc.) and other correspondence for the Executive Office and Board; work closely with Communications and Development staff (and other divisions as needed) to ensure proper alignment of messaging
  • Collaborate closely with Executive Assistant to the CEO to assist with management of key priorities, calendaring and create increased efficiency and capacity for the Executive Office
  • Anticipate and facilitate the requirements of a fast-paced executive office with a wide range of internal and external engagements and projects Coordinate with other administrative and executive management staff to assure tasks are complete; assist in the management of the daily operations of the office of the CEO
  • Other duties and special projects as assigned by the CEO

JOB QUALIFICATIONS/REQUIREMENTS:
  • 4+ years of experience in non-profit sector with increasing responsibility; experience supporting non-profit executives preferred
  • Bachelors in relevant field (public administration, political science, business administration, communications, etc.), MPA, MPP, M.Ed, or other relevant education or certifications or professional experience
  • Knowledge of policymaking process in New York City and state and local governments with a strong record of leading and delivering effective results
  • Belief in the power of mentoring
  • Demonstrated success in building meaningful relationships with internal and external stakeholders
  • Strong facilitation skills and presentation skills, excellent situational judgement and ability to operate in a fast paced, results driven environment
  • Strong organizational, written communication skills; computer knowledge; assessment skills,
