Job Description
We are seeking a highly organized and proactive Executive Project Coordinator to provide comprehensive support to the President of our Greater Los Angeles office and a Producer, SVP based in Los Angeles. The Executive Project Coordinator will play a crucial role in ensuring the smooth operation of the president's daily projects, coordinating follow-ups, and handling communications with clients and stakeholders. The ideal candidate will possess excellent communication, technology systems, and interpersonal skills, be detail-oriented, and thrive in a fast-paced environment. Responsibilities
Client Meetings Support: Prepare meeting agendas, gather necessary documents or reports, and ensure everything is prepared as well as following up and deliverable tracking.
Client Service. Review incoming client requests and track the timely/appropriate responses.
Client Satisfaction. Make a positive contribution to customer satisfaction and continuously strive to improve service to the customer.
Client Retention Strategies: Assist in client retention strategies, coordinating that services are organized and prepared before deadlines.
Client Relationship Management (CRM) Software: Manage CRM software, updating client records, tracking interactions, and generating reports to help analyze client data and trends.
Content Administration: Manage the distribution of content such as white papers and news articles to potential prospects through mass email campaigns.
Organize Internal Team Meetings: Schedule and coordinate internal team meetings, including setting up agendas, sending out invitations, booking meeting rooms, and recording meeting minutes.
Submit Expense Reports: Responsible for preparing and submitting expense reports ensuring all expenses are accurately documented and submitted in a timely manner.
Manage Travel Communication: During travel days, help manage communication with clients, colleagues, and other stakeholders to ensure continuity in executives absence.
Clerical Support: Manage miscellaneous clerical tasks as required.
Requirements:
Position qualification
Geography. This position requires the candidate to be in Los Angeles.
Education. Bachelor's degree preferred.
Organization. Excellent organizational and time management skill
Prioritization. Strong prioritization skills to effectively manage tasks and ensure that the most important matters are brought to attention promptly.
Communication. Must have strong verbal, written, and interpersonal skills to interact with clients, project team members, and associates at all levels of responsibility, representing Lockton in the highest professional manner
Motivation. Proactive and self-motivated individual who takes initiative in identifying opportunities for improvement and implementing solutions without constant supervision.
Technology. Proficiency in Microsoft Office Suite and is comfortable navigating tech.
Technical. High aptitude for accuracy in mathematical calculation
Ability to travel by automobile and aircraft and be away from home more than one day and night
Legally able to work in the United State
This position may be eligible for annual discretionary bonus consideration.
