JOB TITLE: Expanded Learning Secretary
JOB SUMMARY
To ensure the smooth and efficient operation of the Expanded Learning office so that the program's maximum positive impact on student education can be realized. Under direction, perform a wide variety of complex and responsible office secretarial duties within the Expanded Learning department; assist in coordinating after-school and enrichment programs; support budgetary and compliance reporting; and perform other related duties as required.
This position requires a highly independent worker due to the limited supervision received, as many of the duties may be performed while the Administrator of Expanded Learning is absent from the office. The employee is required to make decisions that demand confidentiality and sensitivity. The secretary must be productive, flexible, and organized despite frequent interruptions.

TERMS OF EMPLOYMENT:
- 220 workdays contracted
- Eight (8) hours per day, five (5) days per week, according to current schedule
- Classified Confidential Salary Schedule
Knowledge of:
- Various computer programs related to word processing, spreadsheets, purchasing, time accounting, and communication systems
- Procedures, methods, techniques, principles, and functions of a school district office
- Budget management, student information systems, and compliance reporting related to Expanded Learning programs
- Public education goals and objectives, including after-school program administration
- Establish and maintain positive relationships with students, families, staff, and community partners
- Be culturally and linguistically sensitive
- Keyboard accurately at 45 words per minute
- Make accurate arithmetical computations
- Maintain confidentiality in all aspects of student and employee information
- Work independently and exercise good judgment in decision-making
- Coordinate program budgets and assist in financial report preparation
- Develop and maintain student attendance records and compliance reports
- Two years of responsible secretarial experience required
- One year of paid service working in a school office preferred
- Experience with a Student Information System (e.g., Aeries) preferred
- High school diploma or equivalent to twelfth-grade graduation
- AA Degree in a related field (preferred)
- BA/BS Degree in a related field (desirable)
- Serve as the administrative secretary for the Administrator of Expanded Learning, assisting in scheduling, correspondence, and clerical support of all expanded learning programs.
- Coordinate the posting and fillings of expanded learning supplemental positions in conjunction with the Human resources department.
- Serve as Summer School Secretary
- Complete all CALPADS updates that relate to expanded learning
- Maintain office files, student records, and compliance documentation related to after-school and enrichment programs.
- Process a variety of letters, reports, and records for office use using the most current computer programs.
- Review and screen incoming correspondence and communications.
- Relay confidential information between the Administrator and District Administration.
- Assist in tracking attendance, maintaining reports, and ensuring compliance with state and federal Expanded Learning program requirements.
- Work collaboratively with staff to coordinate and track substitute coverage as needed, ensuring accurate input of time and accounting records.
- Assist with budget monitoring, purchasing, and processing financial reports for Expanded Learning programs.
- Organize and schedule meetings, professional development sessions, and special events for the Expanded Learning department.
- Develop and distribute promotional materials for Expanded Learning programs using flyers, newsletters, and social media.
- Maintain and update records in the Student Information System (SIS) for Expanded Learning program participants.
- Assist with the organization of Expanded Learning program supply orders, requisitions, and inventory management
