TITLE: FACILITIES PROJECT MANAGER

QUALIFICATIONS & REQUIREMENTS:
  • Have working knowledge of skilled trades and construction.
  • Possesses experience with budgeting and project planning.
  • Positive interpersonal and communication skills to problem solve and work professionally with staff.
  • Ability to prioritize responsibilities and manage time.
  • Possess computer skills in Google Suite and/or Microsoft Office applications.
  • Preferred candidates with school district experience in project management of referendum and/or capital improvements.
  • Technical competencies in a variety of areas, including the use of technology, mathematics skills, writing and editing, organization, problem-solving, project management, and statistical record keeping.
  • Ability to promote and follow District, building, and department policies and procedures.
  • Ability to communicate, interact, and work effectively and cooperatively with people from diverse ethnic and educational backgrounds.
  • Experience in reading, understanding blueprints, construction drawings, bids, specifications, and other related construction documents.
  • Demonstrates understanding of construction contracts, pay requests, change orders, and other typical AIA Documents and Forms.
  • Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment, and report unsafe conditions to the appropriate administrator.
  • Valid Illinois Driver's License.

    POSITION OVERVIEW:

    The Referendum Project Manager will support the Director of Facilities by assisting with the coordination and completion of construction projects on time, within budget, and within scope. This position will also involve organizing and communicating project details, managing financials, and providing updates.

    REPORTS TO: Director of Facilities
    ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Attend weekly update meetings and conduct daily check-in visits at each construction site, providing feedback on behalf of the District.
  • Track expenses and budgets, and document all financials.
  • Maintain organized files, emails, and other correspondences, and track any required records of current departmental contracts for departmental projects.
  • Read through and verify daily ASIs and PCIs to ensure that the work specified meets district and project requirements.
  • Track and update milestone project dates weekly, based on progress, for both the communications department and the internal team.
  • Track subcontractor close-outs with the Construction Manager to ensure work is completed to specifications, including ASI updates, warranties, and required owner training.
  • Coordinate and track the ordering, delivery, and installation of furniture, fixtures, and equipment (FFE), including the submission of purchase orders.
  • Manage specific subsets of projects, such as a particular phase or deliverable.
  • Consult with and gather information from technicians, engineers, contractors, architects, and construction managers to share and review with the Director of Facilities.
  • Support the Director of Facilities in the oversight and coordination of all referendum and capital improvement projects from planning through final occupancy. Manage day-to-day operations, including budget tracking, construction progress, contractor coordination, and regulatory compliance. Monitor project timelines, expenditures, and vendor performance to ensure alignment with district goals, standards, and timely project delivery.

  • Ability to work in a very fast-paced and stressful environment.
  • Ability to meet the physical demands of facility and equipment inspection in buildings, on roofs, and in the field.
  • Ability to work on a computer for a significant portion of the workday.
  • Ability to speak and hear.
  • Ability to frequently stand, walk, sit, and use hands and fingers.
  • Ability to frequently lift and/or move up to 10 pounds and occasionally lift and/or move more than 25 pounds.
  • Ability to use close vision, distance vision, color vision, peripheral vision, depth vision, and the ability to adjust focus.

  • Environmental Conditions:
  • Indoors in an environment with exposure to constant noise and communication, and wide temperature variations.
  • Outdoors in an environment with wide temperature variations and inclement weather.
  • Potential exposure to severe weather conditions.
  • Frequent work at a fast pace with unscheduled interruptions.
  • Required to leave the main work site to attend meetings and inspect work or construction sites for compliance with District standards.
  • Public contact requires appropriate business-like apparel.
  • Ability to climb ladders and work from heights.
