What you'll do
As a Facilities Specialist you will be responsible for the maintenance, construction, and cleanliness of buildings, grounds, and other structures. Act as the main point of contact (POC) for Scout Motors' employees regarding workplace and facilities-related matters. Oversee day-to-day facilities operations on-site, including vendors, maintenance, renovations, coffee and marketplace services, cleanliness, and overall site appearance. Reporting to the Manager, Facilities & Construction, the coordinator will collaborate with cross-functional stakeholders to deliver world-class facilities and contribute to the long-term goals and objectives of Scout Motors.

Location & Travel Expectations: The responsibilities of this role require attendance in office daily, and at in-person meetings and events regularly. This role will be based out of the Scout Motors location in Novi, MI. Applicants should expect that the role will require the ability to convene with Scout colleagues in person and travel to participate in events on behalf of the company from time to time.

This is a full-time, exempt position eligible to receive a base salary and to participate in an annual performance bonus program. Final salary offered will be determined based on factors including but not limited to the candidate's skills and experience. The annual performance bonus program is preset and not candidate dependent.
Initial base salary range = $85,000-$95,000

What you'll do

- Perform daily facility walks (Office, lab, warehouse, exterior) to ensure the facility is properly maintained and safe
- Manage facilities work order in-take process through our CMMS software: timely review, prioritize, assign, execute, communicate status, and track key metrics for all work
- On site POC for cleaning service provider. Primary for submitting cleaning requests to service providers
- Maintain accurate office floor plans to track use and occupancy data
- Manage on-site needs for fleet vehicles (keys, parking, sign-in/sign-out, and vehicle maintenance management)
- Incoming mail/packages pick-up and distribution
- Order and maintain breakroom inventory and daytime cleanliness of breakroom area
- Order and maintain site office supply inventory
- Maintains inventory of company letterheads and other official stationery. May submit company stationery reorder requests to Corporate Services
- Monitoring room and desk reservations
- Coordinates office moves or relocations, including sourcing and managing 3rd party furniture vendors. Primary point of contact for all moving services. May submit furniture requests to Corporate Services.
- Manage key relationships with vendors, business partners and internal stakeholders
- All other facilities related activities as assigned by Manager, Corporate Facilities & Construction
- Lead a small group of 3rd party vendors and our internal facilities support team

- Bachelor or associate degree in facilities management, project management, engineering preferred
- A minimum of 5+ years of experience in facility coordination, project management, or real estate
- Excellent computer and systems knowledge, including MS Office Building Management Systems (BMS), CMMS, CAD or Bluebeam a plus
- Ability to respond to building and equipment emergencies off hours
- Proficiency in office software, such as Microsoft Word, Excel, and Outlook.
