The firm is seeking a civil litigation Filing Specialist to join the litigation department's Office of the Clerk. The primary day-to-day functions of the position include assisting attorneys and litigation case teams with filing and lodging documents with a wide variety of tribunals and ancillary administrative tasks. These responsibilities include both e-Filing and coordinating with outside vendors for traditional hard-copy filings, with an emphasis on filings in federal and state trial and appellate courts in California, however, the responsibilities include filing in federal and state courts throughout the United States.

The ideal candidate must demonstrate strong communication skills, experience working under tight deadlines, and the ability to effectively execute and prioritize required tasks amidst competing/simultaneous requests.

This position is available as a hybrid work schedule for our Palo Alto, San Francisco, Los Angeles, Century City or San Diego offices.

This position requires availability for afternoon/evening shifts, with work hours ranging from 1:00 PM to 10:00 PM Pacific.

Responsibilities:
  • e-Filing litigation documents, and coordinating traditional hard-copy filings as needed, across a wide range of domestic tribunals and administrative agencies, e.g., federal district and appellate courts, state trial and appellate courts
  • e-filing complex litigation filings, including: filings with voluminous documents and exhibits, motions to seal and accompanying confidential materials lodged or filed provisionally under seal, filings in sealed actions, ex parte submissions, filings performed on an expedited or emergency basis (e.g., TROs), case initiating materials, etc.
  • Reviewing litigation documents for compliance with administrative document filing & e-Filing requirements (formatting), providing feedback to attorneys
  • Reviewing and understanding administrative filing requirements, mechanics, and procedures, and understanding the mechanics of applicable electronic court filing systems, for new jurisdictions or courts as the demand arises
  • Effectuating service and coordinating the delivery of chambers' copies; liaison between attorneys and court clerks for reserving hearings or court administrative tasks
  • Monitoring Office of the Clerk intake and providing responsive coverage to meet attorneys' filing needs
  • Perform related duties as assigned by supervisor
  • Maintain compliance with all company policies and procedures


Qualifications:
  • Preferred bachelor's degree or equivalent
  • Requires 5+ years experience e-Filing litigation documents in a wide range of domestic tribunals - e.g., federal district and appellate courts throughout the United States (particularly district courts in California and the Ninth Circuit); and California trial and appellate courts throughout the state (particularly Superior Courts in Santa Clara, San Francisco, LA, Orange, and San Mateo counties)
  • Strong working knowledge of applicable administrative requirements relating to e-Filing and document standards among various courts and tribunals
  • Strong familiarity with electronic court filing tools including, CM/ECF, ACMS, California EFSPs, NYSCEF, and more
  • Proficiency in MS Office Suite (Excel, Word) and Tungsten Power PDF, or similar PDF software
  • Excellent verbal and written communication skills, including ability to effectively communicate in a timely manner via Outlook, Teams, and phone
  • Must be able to multi-task to meet multiple deadlines that require a quick turnaround, while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
  • Able to physically be in-office as demanded by business needs with little advance notice, Monday through Friday for service of documents, copy-checking materials, etc.


The primary location for this job posting is in Palo Alto, but other locations may be listed. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate's qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows:

San Francisco and Silicon Valley: $45.48 - $61.54 per hour

Austin, Boston, Boulder, District of Columbia, Los Angeles, New York, San Diego, Seattle, and Wilmington: $43.22 - $58.47 per hour

Salt Lake City and all other locations: $38.67 - $52.31 per hour

The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
