Position Overview
The Operations Manager will be responsible for overseeing operational and office functions, managing projects and timelines, and leading the team to our organizational goals. As part of the leadership team at With a Little Help, the operations manager will work closely with executives to help improve and streamline office operations.
This role requires a proactive and detail-oriented leader who can efficiently manage operations, ensuring a supportive and positive work environment.

Key Responsibilities
- Implement and integrate the vision of the business owners into day-to-day office tasks.
- Office Team Leadership, Lead operational projects. Make suggestions towards the implementation of a positive work culture.
- A member of With a Little Help's leadership team
- Project Management' in:
- Staff ManagementOversees office staff, including the Recruiting/HR Coordinator, remote schedulers, and on-call caregivers. Manage recruitment, HR and scheduling to ensure proper staffing and smooth operations.
- Coordinate with Client Services to provide supportive recruitment goals to the Recruiting/HR coordinator
- Communicate with remote schedulers on operational goals
- Engage with on-call caregivers and provide updates to tasks and daily to weekly forecasted schedules
- Manage office staffs time off requests
- Office Operations Ensure that the office is properly staffed, organized, and operational.
- Ensure smooth opening and closing of office building during operational hours
- Lead/coordinate daily standup meetings
- Maintain office supplies, decorate, and maintain an organized schedule of business chores
- Business Office Management Develop and implement office procedures and workflows to improve operational efficiency.
- Prepare payroll and invoicing for Director of Finance to approve
- Oversee Office IT
- KPI Tracking & Reporting
Essential Competencies

- Highly effective communicator, able to convey ideas clearly and build strong relationships with clients, caregivers, and staff.
- Strong attention to detail, ensuring accuracy and precision in all aspects of work.
- Tech-savvy, proficient with digital tools and systems to improve efficiency and performance.
- Excellent problem-solving skills, with the ability to address challenges creatively and decisively.
- Exceptional organizational skills, adept at managing multiple tasks, schedules, and priorities to achieve optimal outcomes.
What we are Looking For:
- 2-5 years in an in-home care setting (strongly preferred) or a senior assisted living and/or nursing home environment, bringing an understanding of client and team needs.
- 3+ years of expanding Leadership and management experience, with a focus on driving team success and performance.
- Scheduling, recruiting, and human resources, ensuring efficient operations and staff coordination.
- Serving as a compassionate, empathetic leader dedicated to helping others and making a positive impact.
- A proactive, solution-oriented approach with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Flexibility and adaptability, adjusting to changing needs and ensuring smooth operations in dynamic settings.

- Competitive Pay: A competitive exempt salary between $78,000-$100,000 with potential for annual raises and performance bonuses.
- Performance Bonus: Bonus target of 20% of salary with potential for more or less to be determined by meeting, exceeding or reaching a portion of goal targets.
