Position Summary
The IT Manager (Working Manager) is a seasoned professional responsible for managing daily IT operations and leading the technology support team while actively providing advanced technical support and systems administration. Reporting to the VP of IT, the IT Manager ensures the stability, security, and compliance of IT systems including Office 365, Microsoft Azure, AthenaHealth EHR, and Windows environments. This position requires strategic thinking, exceptional technical capabilities, proactive and strong leadership skills, and the ability to successfully balance management responsibilities with hands-on technical work within a healthcare environment.

Reporting to the VP of IT, the IT Manager ensures the stability, security, and compliance of IT systems including Office 365, Microsoft Azure, AthenaHealth EHR, and Windows environments. This position requires strategic thinking, exceptional technical capabilities, proactive and strong leadership skills, and the ability to successfully balance management responsibilities with hands-on technical work within a healthcare environment.
Responsibilities
Team Leadership & Operational Management
- Supervise and mentor the IT support team, including training, performance evaluation, and development of staff.
- Manage employee scheduling, approving timecards via ADP, ensuring accurate reporting of hours worked, PTO, overtime approvals, and adherence to organizational policies.
- Implement and enforce work schedules, ensuring appropriate coverage, staffing efficiency, and balanced workloads.
- Manage employee discipline processes, provide timely coaching, documenting performance concerns, and escalating disciplinary actions in alignment with organizational guidelines.
Advanced Technical Support (Tier-2 & Escalations)
- Serve as the primary escalation point for complex technical issues involving Office 365, Microsoft Azure, AthenaHealth, and Windows systems.
- Conduct advanced troubleshooting and problem resolution, minimizing downtime, and improving overall system reliability.
- Provide guidance and support to IT staff on complicated technical matters, promoting ongoing skill development.
System & Infrastructure Administration
- Oversee comprehensive administration of the organization's core IT infrastructure, including Office 365 tenant, Azure cloud resources, and Windows server environments (AD, DHCP, DNS, file servers).
- Manage critical system lifecycle activities, such as upgrades, patching, monitoring, optimization, and capacity planning.
- Ensure consistent performance monitoring, disaster recovery preparedness, and proactive system health checks to maintain high availability.
AthenaHealth EHR Oversight
- Manage IT-related aspects of AthenaHealth EHR, including system integrations, vendor coordination, and troubleshooting complex platform issues.
- Collaborate closely with clinical departments, compliance teams, and external vendors to ensure seamless EHR system performance and compliance with healthcare regulations.
Cybersecurity & Regulatory Compliance
- Develop, implement, and enforce robust cybersecurity practices, aligning policies with HIPAA standards and organizational guidelines.
- Lead regular security assessments, audits, vulnerability testing, and promptly address identified security gaps or incidents.
- Actively participate in security incident response activities, coordinating technical recovery actions in collaboration with compliance teams and the VP of IT.
Strategic Planning & Project Management
- Assist the VP of IT in defining and executing strategic technology initiatives aligned with organizational goals, including technology roadmaps, budgeting, and vendor selection.
- Independently lead technology projects, managing timelines, budgets, resources, and outcomes from initiation to successful completion.
- Evaluate emerging technologies and propose solutions that enhance productivity, security, and user experience in alignment with strategic goals.
Documentation, Training, & Knowledge Management
- Ensure comprehensive documentation is created and maintained, covering infrastructure configurations, troubleshooting processes, security protocols, and IT procedures.
- Develop and implement training programs and materials for IT staff, ensuring continuous professional growth and readiness.
- Foster a culture of knowledge-sharing and collaboration within the IT team, emphasizing cross-training and mentorship.
Vendor & Contract Management
- Manage relationships with external IT vendors, service providers, and consultants, ensuring adherence to SLAs, contractual obligations, and budget constraints.
- Conduct regular vendor performance reviews and provide recommendations for contract renewals, changes, or negotiations to the VP of IT.
Accountability & Performance Metrics
- Consistently achieve and exceed departmental performance standards, maintaining a monthly departmental scorecard threshold of 90% or higher.
- Successfully manage the resolution of escalated tickets, project deliverables, and operational uptime targets.
- Demonstrate measurable improvements in team performance, user satisfaction, and proactive issue prevention.
Education/Experience/Licensure
- Bachelor's degree in information technology, Computer Science, or related field required; advanced degree or equivalent professional experience preferred.
- Advanced certifications such as Microsoft Certified Solutions Associate/Expert (MCSA/MCSE), Azure Administrator, ITIL, CISSP, or related credentials strongly preferred.
- Minimum 5-7 years of progressive IT experience, including at least 2 years supervising or managing technical teams. Healthcare IT management experience is strongly preferred.
- Extensive hands-on expertise with Office 365, Azure, Windows server environments, cybersecurity practices, and healthcare compliance (HIPAA). Exceptional analytical, problem-solving, leadership, and communication skills.
