POSITION ESSENTIAL FUNCTIONS
- Under direction of the Manager, evaluates, reviews and audits documents related to lease costs for assigned CMS operated properties.
- Performs the major controlling impact on the outputs of assigned Contract/Obligation activities.
- Initiates paperwork for vouchers and to set up automatic payment through accounting software for monthly vendor lease payments, utility costs, operating expenses, and tax reimbursements, resolving any discrepancies as required for proper payment of all costs associated with lease payments.
- Receives and responds to complex correspondence and phone calls from various agency personnel and vendors pertaining to service questions, policies, rules, regulations, payment status, processing issues, complaints and other general questions or inquiries.
- Receives, reviews, and analyzes statements and payment requests from outside vendors engaged in the business of managing various state-owned properties.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
MINIMUM QUALIFICATIONS
- Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with coursework in business or public administration.
- Requires one year of responsible administrative experience in a public or business organization or completion of an agency approved professional management training program.
SPECIALIZED SKILLS
- Requires extensive knowledge of creating blanket obligations, automatic payments, contract obligations, document amendments, etc.
- Requires extensive knowledge in the use of spreadsheet and database software such as Microsoft Excel and Access.
PREFERRED QUALIFICATIONS
- Prefers extensive knowledge of creating blanket obligations, automatic payments, contract obligations, document amendments, etc. utilizing accounting software.
- Prefers extensive knowledge of using spreadsheet and database software such as Microsoft Excel and Access.
- Prefers working knowledge of the functions and principles of state government, state accounting systems, and procurement.
- Prefers one (1) year of professional experience analyzing administrative problems and adopting an effective course of action.
CONDITIONS OF EMPLOYMENT
- Requires completion of a background check and self-disclosure of criminal history.
- Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime. This may require the ability to work evenings and weekends.
- Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties.
- Requires the ability to use agency technology/equipment (i.e., mobile phone, laptop, etc.) properly in accordance with information security awareness policies and confidentiality guidelines.
