What You'll Do
Legal Office Supervisors supervise assigned legal office support staff by orienting and training staff, coordinating workload, ensuring coverage and evaluating performance. Establishes procedures to ensure work is done accurately and efficiently and that deadlines are met. Coordinates across divisions within the County Attorney's Office to ensure efficient and effective operations. Leads workgroups on technology implementations or initiatives. Develops workload, integrity or other supervisory reports as needed. Fosters a positive, proactive workplace culture. Ensures reporting staff are in compliance with the MN Government Data Practices Act and other privacy and security requirements/guidelines for private and/or confidential data.

The current vacancy has responsibilities in the Child Support Division in West St. Paul. This is a unique position in a diverse division that affords the incumbent an opportunity to develop legal knowledge and leadership skills in a variety of areas.

Minimum Qualifications
Bachelor's degree in related field AND two years' of experience as a legal secretary, legal administrative assistant, paralegal, legal assistant, or closely related position in a legal setting.
OR
Legal Secretary Degree, Paralegal Certificate, or Associates Degree in a related field AND Four years' experience as a legal secretary, legal administrative assistant, paralegal, legal assistant, or closely related position in a legal setting.

PREFERRED EXPERIENCE BEYOND MINIMUM QUALIFICATIONS:
Supervisory or lead work experience
Experience in family law related case management.

Duties & Responsibilities

These examples do not include all possible tasks in this work and do not limit the assignment of related tasks in any position of this classification. Regular attendance according to the position's management approved work schedule is required for all positions.

1. Supervise assigned support staff; provide training, assign job duties, coach for performance, ensure workload equity, address performance issues, and facilitate skill development when needed.
2. Evaluate employee performance both informally and through annual reviews.
3. Coordinate and structure ongoing work assignments to allow for rush projects, deadlines, and staff absences.
4. Screen, refer and resolve questions and concerns from the general public, County staff and outside agencies.
5. Develop supervisory reports for invoicing, budgeting, data integrity, etc.
6. Develop and implement employee, unit, division, and Office procedures.
7. Lead staff in ongoing process review and improvement for assigned work functions.
8. Lead staff in implementing new technical procedures or initiatives to stay current with Office, client and outside agency needs.
9. Work on high profile cases to ensure confidentiality.
10. Participate in interviews and contribute to decision-making process for hiring of attorneys, law clerks, paralegals and support staff.
11. Coordinate staff resources, training, and coverage across the Office as needed.
12. Participate in budget process by identifying needs for additional staff, equipment or furniture.
13. Chair ongoing support meetings and participate in other division staff meetings.
14. Consult with Division Heads, the Legal Administrative Manager and other Legal Office Supervisors to ensure procedures are consistent, up-to-date, and efficient across the Office.
15. Collaborate with the Division Head to identify and communicate technology needs or upgrades for the Division and assist as necessary to coordinate the design, development, train and test any changes to the Division technology resources.
16. Participate in resolving staff problems or conflicts within the Office, County, and outside agencies.

Considerable knowledge of County and Office policies and procedures.
Considerable knowledge of family court procedures and data privacy requirements.
Considerable knowledge of the principles and practices of office management and supervision.
Considerable knowledge of legal office procedures, terminology, forms, documents and citation formats.
Considerable knowledge of service of process requirements, statutory time deadlines, pleading formats, and court procedures and rules.
Considerable ability to communicate effectively both verbally and in writing.
Considerable knowledge and ability to operate and train assigned staff on electronic applications such as CIBER, MNDES, MGA, MNCIS, State applications and other assigned programs.
Ability to work with minimal supervision.
Ability to use good judgment and make decisions.
Ability to organize work effectively and efficiently.
Ability to train, coach and supervise subordinates.

Work Environment
Work is performed in a County office building. Lifting requirement of up to 20 pounds on an occasional basis. Work is primarily sedentary and requires sitting for extended periods of time. Equipment used may include, but is not limited to, computer, printer, scanner, calculator, copier and multi-function equipment.
Location & Schedule

This is a hybrid position that offers a mix of telework and in-person work at our Northern Service Center in West St. Paul, MN. Work is performed Monday through Friday during regular business hours (8:00 a.m. to 4:30 p.m.)

The full salary range for this position is $70,518 - $110,185 and preferred hiring range is $70,518 - $88,148 annually. The amount that is offered is depended on the candidates' overall skills education, experience and internal equity. The offer would also include the County's benefits package.
