Job Description
- Ensure client satisfaction throughout the move management process by providing a single point of contact for all move management activities and act as liaison between teams and the move vendors, and further communicate any last-minute updates.
- Ensure all move management activities are performed in a manner consistent with documented processes.
- Adhere to move management schedule and budget.
- Receive, compile and scrub move lists for potential issues, and address and resolve issues as needed.
- Prepare/update project status reports, process purchase orders and invoices, update tracking reports and maintain files for due diligence and financial.
- Facilitate project kick-off meetings with internal staff and key stakeholders to ensure responsibilities are communicated and understood by all concerned parties.
- Participates in planning meetings hosted by the client.
- Review furniture layouts and ensure all standards are adhered to prior to move.
- Deliver boxes, move labels, post pin ups, and deliver/communicate move instructions.
- Schedule movers and alert security by providing all names for badging.
- Schedule disconnects and reconnects of computer, servers, printer, and phones, including any coordination with vendors as required.
- Submit service tickets to have space cleaned, keys and chairs at desk.
- Troubleshoot all lost or misplaced items.
- Coordinate pick up of crates and/or boxes.
- On site for all vendors and customers during move including nights and weekends, when applicable.
- Review completed move and make adjustments with vendors, as needed.
- Perform timely data input into the CAFM system to maintain occupancy information and ensure data accuracy within move management and CAFM systems.
- Following projects and incremental moves, update seat assignment for accurate reporting in CAFM database management system.
- Ensure compliance with all key performance indicators
- Provide superior customer service.
- Develop and deliver required project specific reporting
- Other projects, special assignments
