SUMMARY

The Manager, Alumni Relations, helps strengthen the bond between the institution, its alumni, and its donors. Working with internal and external teams, the Manager designs and implements strategies to actively engage alumni, while supporting the institution's philanthropic goals.

DETAILS OF RESPONSIBILITIES

Alumni Engagement:
  • Develop and execute programs that encourage alumni engagement through events, digital communications and strategic initiatives.
  • Create and oversee meaningful alumni events, such as reunions, conferences, panels and networking opportunities.
  • Implement tools and resources to include graduates in institutional initiatives (professional opportunities, etc.).
  • Build an alumni association and act as the main point of contact for alumni, facilitating their ongoing engagement with the university and supporting their contributions to strategic initiatives.


Relationship with donors:
  • Manage a portfolio of current and potential donors, fostering strong relationships and supporting fundraising campaigns.
  • Develop fundraising proposals and coordinate donor recognition and retention activities.


Digital strategy and communication:
  • Develop communications for graduates and donors, including e-newsletters, social networks and website updates.
  • Develop engaging content to showcase the inspiring journeys of graduates and donors.
  • Collaborate with marketing and communications teams to produce engaging content that reflects the institution's values.

Database management:
  • Import data from CSV or Excel files using a database, notably to integrate information on new graduates or donors, address updates, events, and financial contributions.
  • Generate targeted lists for specific campaigns by creating queries to segment graduates by academic program and geographic location, or segment donors by category (donation amount, frequency, seniority).
  • Identify and merge duplicates, while regularly checking the consistency of key data (such as alumni status and donation amounts) to ensure the integrity of information and avoid any errors in reporting or communications.

Processing donations :
  • Oversee the registration and processing of donations in the database, issue tax receipts and thank-you letters, and manage online and recurring donations to ensure proper allocation and follow-up.
  • Reconcile donations with bank deposits, manage special funds (grants, projects) and provide impact reports to donors to show how their contributions are being used.
  • Carry out regular audits to ensure accuracy of records and transparency of fundraising processes, in collaboration with the finance team.

Institutional collaboration :
  • Work in partnership with other departments (e.g. Faculties, Schools, Services and Centers) to integrate graduates or donors into key initiatives.
  • Recruit, train and support alumni volunteers to represent them at events.


Essential Skills :
  • University degree in a relevant field (marketing, administration, communications, etc.).
  • Three (3) to five (5) years experience in alumni relations, fundraising or community engagement.
  • Extensive experience in CRM database management and segmentation, with a solid grasp of data management tools.
  • Ability to network and build lasting relationships, including face-to-face at events and on social networks such as LinkedIn.
  • Ability to work flexible hours (evenings and weekends) and travel occasionally.
  • Bilingualism (French and English) required.


Assets :

  • Experience in the post-secondary education or non-profit sector.
  • Knowledge of digital tools and event management/alumni relations platforms (e.g. Raiser's Edge).
