Primary Purpose: The Business Operations Manager is responsible for the operational management of Edwards' Executive Education programs. The Executive Education unit within Edwards School of Business is focused on providing market-relevant non-degree programming for business executives and professionals, offering both customized programs for organizations and public workshops in various business disciplines. This unit fosters and promotes lifelong learning for working professionals and strengthens the connection between the business community and the Edwards School of Business.
Nature of Work: Reporting to the Director of Executive Education, this position oversees and ensures the execution of operational functions within Executive Education to deliver high-quality educational experiences. The incumbent supervises the operations team, optimizes processes, manages program budgets, and develops and maintains strong relationships with internal and external stakeholders.
The position requires significant interaction with University faculty and staff, external consultants and the business community. Creativity in assessing and developing program plans and the ability to focus on and manage detailed program specifics are essential. The incumbent will be subject to frequent internal and external deadlines and shifting priorities. Discretionary decision-making is required.
Flexibility in working hours is necessary as there will be some evening and weekend commitments. Occasional travel is required.

Accountabilities
Program Management
- Manage logistical aspects of program delivery, including schedules, locations, and materials, as well as communication with clients, instructors, and participants.
- Oversee contracting processes, including client agreements, facilitator contracts, and vendor contracts, to ensure clarity, compliance, and alignment with program objectives.
- Maintain agreements with venders, clients, and instructors, ensuring clarity of expectations and deliverables.
- Monitor program evaluations to ensure our programs deliver an exceptional client experience
- Develop and manage procedures aimed at improving organizational efficiency for program delivery.
Operations Management
- Oversee the physical workspace, ensuring safety, functionality, and efficiency to support seamless operations.
- Manage office inventory, including supplies and equipment, to facilitate smooth day-to-day operations.
- Establish and maintain relationships with vendors, contractors, and service providers for maintenance, repairs, and upgrades.
- Oversee catering arrangements for programs and events, ensuring quality and participant satisfaction.
- Provide staff training on technology and tools to ensure effective utilization and enhance program delivery.
- Manage operational systems, including the Learning Management System (LMS) and the Registration System (Modern Campus).
- Organize workflow and identify opportunities for process improvements to meet participant needs.
- Oversee the building property operations, providing support, addressing facilities maintenance and operational issues as needed.
Financial Management
- Manage invoicing, payments, and budgets for program expenses, ensuring accuracy and alignment with financial plans and organizational goals.
- Ensure that the needs of participants are being met, by effectively organizing workflow and identifying process improvements.
- Prepare and manage program budgets, tracking expenditures and ensuring alignment with organizational goals.
- Identify opportunities for cost savings and process improvements to maximize financial efficiency.
People Resources
- Supervise and support the operations team, fostering accountability, collaboration, and high standards for performance.
- Develop and manage relationships with existing and potential clients, staff, faculty and external consultants.
- Create a positive, diverse, and inclusive work and learning environment.

Experience:
- Minimum three to five years' relevant experience in business operations and/or event management.
- Preference will be given to previous experience in executive education, learning and development or continuing education.
Skills:

- Team oriented with strong interpersonal relationship-building skills and the capacity to build consensus and maintain positive relationships with a wide range of stakeholders, including staff, faculty and clients.

- Demonstrated analytical and organizational skills, including effective planning and management of multiple projects and database management.
- Ability to work collaboratively, including delegation, within a team environment.
