SUMMARY

Reporting directly to the Director of the School of Counselling, Psychotherapy and Spirituality, the Manager is responsible for the day-to-day operations of the Counselling Centre as it relates to students and clinical supervisors involved in practicum school activities. The Manager plans and coordinates student externships, under the supervision of the Director of the School of Counselling, Psychotherapy and Spirituality. In consultation with the Director, the Manager establishes and maintains ties between the Counselling Centre and professional associations, the media and the community. The incumbent participates in the Centre's publicity and maintains a good student/client ratio. He manages the office and follows up with students, supervisors and instructors.

KEY RESPONSIBILITIES:
  • Office administration and management
    • Maintains a solid client base to ensure a good student/client ratio.
    • Evaluates the overall quality of the Centre's services; recommends improvements where necessary.
    • Ensures all aspects of access to files, brings any potentially contentious cases to the attention of the Director and ensures that files are properly followed up with students, supervisors and instructors involved at the Centre.
    • Recommends the hiring of personnel as required, in accordance with University regulations.
    • Prepares contracts for signature by the Director and approves hours for clinic employees (regular and contract).
    • Collects and administers all internal and external practicum evaluations.
    • Monitors and updates clinic statistics.
    • Manages and monitors the clinic's budget, in collaboration with the School Director.
    • Carries out any other tasks requested by the School Director.


  • Case management
    • Oversees the proper management of customer files.
    • Administers the case assignment process (monitor student workload and capacity, case reassignment, etc.).
    • Creates and manages clinical supervision groups for each session, ensuring that each student is exposed to a variety of clinical supervision styles.


    3. Planning and coordinating student placement in practicum settings

    • Identifies institutions and organizations that can offer students a counselling and psychotherapy practicum outside the University as part of their practical training; suggests internships to students; encourages students to take advantage of training opportunities.
    • Creates and maintains links with managers, instructors and supervisors for the various counselling concentrations in order to better support students.
    • Supervises students' search for internships.
    • Maintains strong relations between institutions and students.
    • Evaluates students' overall internship experience.
    • Maintains a register of internships and institutions; evaluates the quality of each placement; makes appropriate recommendations on placement sites.
    • Integrates assessments of in-house practicums and practical work placements.


    4. Link between the Counselling Centre and professional associations, the media and the community; Centre's publicity

    • Maintains ties between the Counselling Centre, organizations and the community in the Ottawa area, in order to recruit new clients for the Centre.
    • In collaboration with the Recruitment and Communications Services, promotes the services the Centre can offer to organizations, the community, hospitals, etc.
    • Responds to information requests with regards to the Centre's services, operations and role in the training of counselling trainees.
    • Publicizes the Centre by inviting people to visit; offers a tour of the Centre, providing information on the services offered.
    • Maintains strong relationships with various professional associations and other professionals as required.
    • Represents the Centre to the public.


    KNOWLEDGE AND EXPERIENCE
    • University degree (master's level) in Counselling or related discipline
    • Counselling experience
    • CRPO / OPAO membership
    • Experience in marketing and promotion
    • Knowledge of local community agencies and organizations
    • Case management experience
    • Experience in personnel management, administration and budget management


    ESSENTIAL SKILLS
    • Advanced bilingualism (English and French), both written and oral
    • Strong interpersonal skills
    • Knowledge of how to conduct assessments
    • Ability to manage files requiring professional judgment and ethics
    • Initiative, dynamism and discretion
    • Ability to work independently and as part of a team
