Position Purpose and Summary
The Manager, Marketing Operations, advances the mission and vision of Trinity Western University by developing and optimizing the department's core operational infrastructure designed to empower team members to effectively deliver projects across the University to support organizational goals and objectives.
As the internal architect and champion of our core operational systems, structures, and processes, this individual ensures that team members are set-up for success in our key project management, communication, and customer relationship management (CRM) platforms. This is a maternity leave coverage position scheduled to end in Spring 2025.

Key Areas of Responsibility
Systems & Processes Management
- Lead the operational functions of the marketing and communications teams including the selection, deployment, management, and on-going training for all internal software platforms
- Identify opportunities for increased operational efficiency and effectiveness through continual evaluation and analysis of established departmental strategy, structure, systems, and processes.
- Become a subject matter expert on all internal processes and software platforms to ensure reporting, workflows and other automation are advanced to support organizational strategies
- Capture and communicate operational best practices in the form of processes and workflows
- Contribute to the development, approval, and implementation of relevant University policies
Workforce Planning & Development
- Serve as the primary contact for HR in leading and coordinating team recruitment efforts
- Work with managers to train and coach team members on internal systems and resources including initial team onboarding and on-going training and development
- Support team traffic management and demand planning through systems management and reporting to ensure successful resource utilization for all team members
- Identify opportunities for increased team efficiency through continual evaluation and analysis of established team structure, workflows, systems, and processes
- Create, develop, and circulate regular reports to help support optimal team performance
Resource Planning & Management
- Serve as the team lead for managing all cross-functional infrastructure development efforts
- Process, reconcile, submit invoices to Finance and coordinate authorization of purchases
- Assist with managing departmental budget planning, expenditure tracking, and reconciliations
- Support the management team in determining proper purchase card allocations
- Reconcile monthly operating budgets and share updated financial reports
- Manage all marketing vendor relationships including contracts, rate negotiations, renewals etc.

- Ability to synthesize information quickly then engineer and deploy effective solutions as needed
- Analytical problem-solver with demonstrated critical thinking ability to creatively meet goals
- Detailed understanding of marketing and creative services process and workflows
- Working knowledge of various project management methodologies from agile to waterfall
- Project management prowess with critical-path mastery and an ability to "get stuff done"
- Calm demeanor with a bias for action and taking the initiative to ensure results.
- Experience in utilizing various project management and time tracking software platforms
- Ability to create an environment of collaboration and understanding among stakeholders

Education:
- Business degree, required
Experience:
- 5-7 years of marketing operations management or agency traffic/studio management
- Experience with Salesforce and Salesforce apps (e.g., Marketing Cloud, Enrollment Rx), an asset
- Experience with project management and marketing automation platforms, an asset
