Summary:
Serves in a leadership role to oversee the design, monitoring and maintenance of ambulatory capacity management functions across the clinical enterprise. Ensures patient centric access to services are delivered smoothly, efficiently, and timely. The manager collaborates with executive leadership, clinical and operational leadership and managers, as well as physicians to identify and proactively mitigate issues which create barriers to ambulatory access and patient flow. Scope includes template management for provider and ancillary schedules, continuous alignment of ambulatory capacity to meet patient demand and oversight of capacity-related system configuration. Works in a strong collaborative partnership with clinic operations, patient call centers, Revenue Management and IT. Will have direct reports that oversees referral and scheduling activities.

Responsibilities:
* Establishes and provides oversight to the application of enterprise-wide template standards and guidelines as well as ensure effective maintenance of scheduling guidelines.
* Offers guidance on best practices and opportunities to build schedules for optimal capacity according to guidelines and standards.
* Conducts periodic specialty-wide template reviews with operations managers and leaders to ensure templates match demand, minimize barriers and promote patient access.
* Manage a team that is solely responsible for maintaining and updating provider scheduling templates, including: routine maintenance, complex schedule needs (i.e., multiple providers, resources, modalities and/or multiple appointments scheduled across multiple departments simultaneously), implementing health system growth goals and template standards into provider templates.
* Works with stakeholders, including leaders in Marketing/Patient Experience, physicians and medical directors, revenue cycle, IT and clinical leadership proactively to ensure patient templates are aligned to maximize patient capacity and meet the needs of the patients / families.
* Tracks and evaluates referral and appointment demand to capacity and slot availability.
* Manage tracking of provider clinical efforts across sites and locations to allow for analysis and optimization of capacity. Ensure accurate transfer of data to Health System Data Warehouse and report metrics and analysis to executive leadership as appropriate.
* Responsible for the accurate, timely and effective system build related to scheduling functions and the appropriate movement of changes through approved change management cycles.
* Manage tracking and evaluation of referral and appointment demand relative to capacity and slot availability to identify areas with limited access. Produce and assist in the creation of analysis and recommendations for departmental and executive health system leadership regarding potential solutions (including the addition of faculty or community affiliations). Provide accurate and timely information, reporting, analytics, and decision support to executive leadership related to enterprise scheduling efficacy, capacity, clinical effort, and supply/demand.
* Establish service level agreements with clinical departmental leaders and ensure scheduling capacity analysts are meeting those expectations.

WORK EXPERIENCE
* At least 8 years In an operational or IT leadership role, supporting a team Required
* At least 5 years Supporting scheduling and software applications in a leadership or consultative position Required
* At least 3 years Managing scheduling and template team Preferred
* EPIC Cadence experience Required

EDUCATION
* Four-year Bachelor's degree or equivalent experience Required
* Graduate or professional work or advanced degree; or equivalent experience Preferred
* EPIC Cadence Certification preferred at time of hire, required within first year of employment Required
