Position Summary: The Mental Health Operations Manager is responsible for overseeing the operational efficiency and financial integrity of mental health programs and services, with a strong focus on productivity monitoring and grant oversight. This role ensures that mental health services are delivered effectively, in alignment with organizational goals, and that grants are managed in compliance with all funding requirements. The ideal candidate will have expertise in data-driven decision-making, performance monitoring, and managing both operational and financial aspects of mental health services.
This position can become hybrid.
Salary: $75,000 - $89,440

Key Responsibilities:
1. Productivity Monitoring & Performance Optimization:
- Develop, implement, and monitor productivity metrics for mental health services to ensure optimal performance and resource utilization.
- Regularly track and analyze key performance indicators (KPIs), including clinician productivity, patient engagement, and service delivery efficiency.
- Identify trends, gaps, and opportunities for improvement, using data to drive continuous improvements in service delivery.
- Work with clinical and administrative teams to implement strategies that improve productivity without compromising quality of care.
2. Grant Management & Compliance:
- Oversee the administration of mental health grants, including budgeting, financial tracking, and compliance with grant requirements.
- Ensure that all financial and programmatic reporting deadlines related to grants are met, working closely with the finance team.
- Track and report on grant-funded activities, ensuring outcomes and deliverables align with the scope of the grant.
- Ensure compliance with all federal, state, and local regulations related to grants, and maintain accurate records to meet audit requirements.
- Collaborate with stakeholders to prepare and submit grant proposals, securing ongoing or new funding for mental health programs.
3. Operational Leadership:
- Lead the coordination of day-to-day operations of mental health programs, ensuring that services are delivered efficiently and meet high standards of care.
- Oversee the allocation and utilization of resources, ensuring that staff, materials, and time are effectively deployed to achieve program objectives.
- Work closely with program directors and leadership to ensure the strategic goals of the mental health services align with broader organizational objectives.
- Ensure that clinical staff are supported, have access to necessary resources, and are trained in using productivity and reporting tools.
4. Budget & Resource Management:
- Manage budgets for mental health programs and grants, ensuring cost-effective use of resources.
- Track expenditures against budgets and ensure adherence to financial constraints set by grants or other funding sources.
- Recommend adjustments or reallocations of resources as necessary to ensure program efficiency.
5. Data Analysis & Reporting:
- Utilize data management tools and systems to compile, analyze, and present operational and productivity data to senior leadership.
- Prepare detailed reports for stakeholders, including funding agencies, outlining program performance, grant expenditures, and outcomes.
- Lead the development of regular internal and external reports, ensuring that data is accurate, timely, and clearly communicated.
- Conduct regular audits of productivity data, ensuring that information is consistent and accurately reflects service delivery.
6. Staff Management and Development:
-Lead, coach, and mentor a multidisciplinary team, fostering a collaborative and positive work environment.
-Conduct regular performance evaluations, providing constructive feedback and supporting professional development opportunities.
-Ensure adequate training and professional development opportunities for staff to maintain competencies and stay current with industry standards.
7. Continuous Improvement & Process Refinement:
- Identify and implement best practices for monitoring and improving productivity across mental health programs.
- Lead or participate in process improvement initiatives to streamline operations, reduce inefficiencies, and enhance the delivery of mental health services.
- Ensure that performance data is used to continuously refine strategies and policies, driving improvements in service delivery and operational efficiency.
8. Quality Assurance and Compliance:
-Monitor and evaluate compliance with healthcare regulations, ethical standards, and organizational policies.
-Oversee the collection and analysis of data related to program performance, patient outcomes, and satisfaction.
-Implement corrective actions to address any areas of non-compliance or inefficiencies in service delivery.

Qualifications:
Education:
- Bachelor's degree in healthcare administration, psychology, or social work,
- Master's degree in a relevant field.
- Experience:
- At least 5 years of experience in mental health services management or operations, with a strong background in productivity monitoring and grant oversight.
- Experience with managing government or private grants, including reporting, compliance, and budgeting.
- Proven track record of improving operational efficiency, utilizing data to drive decisions, and enhancing team performance.
- Strong understanding of mental health service delivery models, including clinical workflows and regulatory compliance.
-Strong knowledge of Medicaid billing practices and is current with CAQH
Skills and Abilities:
- Advanced data analysis skills, including proficiency with productivity tracking systems, spreadsheets, and performance management tools.
- Strong financial acumen, with experience in budgeting, forecasting, and resource management.
- Exceptional organizational skills, with the ability to handle multiple projects and deadlines simultaneously.
- Excellent written and verbal communication skills, including the ability to prepare reports for both internal and external stakeholders.
- Experience with grant writing, management, and compliance oversight.
- Ability to collaborate effectively with clinical staff, leadership, and external partners.
- Certifications/Licenses:
- Relevant certifications or licenses in mental health or healthcare management preferred. (LCSW, LPC, LMFT, Psy.D. or PhD)
