General Description
The Monona Terrace Community and Convention Center is looking to hire the next Associate Director! This is highly responsible managerial and professional work as a senior manager for the Monona Terrace Community and Convention Center. The work involves independent supervisory and program administration responsibility for the audio-visual services, sales, marketing, public and community relations, tourism and volunteer services, and event services activities of the Center. This position has significant Operating Budget revenue generation and expense responsibilities in addition to Capital Budget responsibilities. In addition, this position is responsible for day-to-day administration of the City's contract with the Greater Madison Convention and Visitor Bureau (DBA Destination Madison) and other vendor and service contracts and develops and implements directly and through staff the public and community relations, sales and marketing plans for the Center. The work is characterized by the regular exercise of independent judgment and discretion in a wide variety of administrative and programmatic areas where decision-making cannot be standardized and sales, media, customer service and operational situations often require immediate action. The work is performed under the limited supervision of the Monona Terrace Director and this position is in charge of Monona Terrace as assigned in the Director's absence.
The Monona Terrace Community and Convention Center is a place where nearly a half a million people gather each year to share, learn, grow, plan, design, and connect with one another. From formal events like conventions and conferences to public events like Dane Dances, Monona Terrace has wide geographical draw attracting local, regional, state, and international events each year. This Frank Lloyd Wright-designed building is a treasured community asset that has far reaching economic, business and quality of life impacts. This facility is located in the heart of Madison's vibrant downtown on the shore of Lake Monona, two blocks from the State Capitol. Its spectacular multi-level structure features public promenades, meeting rooms with striking lake views, and the attached Hilton Madison Monona Terrace. In addition to 85,000 square feet of interior function space, gracing the rooftop are 68,000 square feet of gardens. Meeting/exhibition space includes a 40,000 square foot exhibit hall, a 14,000 square foot ballroom, 315 seat lecture hall and 20 additional meeting rooms totaling 28,000 square feet.

Examples of Duties and Responsibilities
- Plan, direct, and supervise the daily activities of staff including Sales Manager, Event Services Manager, Audio Visual Manager, Community and Public Relations Manager, and the Graphic Web Design Specialist.
- Hire, train, evaluate, and discipline lower-level staff and handle employee grievances.
- Develop, implement, and administer the event detailing plans and customer service activities of event services staff.
- Develop and oversee the design and administration of a comprehensive volunteer program.
- Direct marketing efforts, membership campaigns, fundraising plans and oversee the creation, coordination, and management of large-scale public fund-raising events.
- Oversee the activities of the Audio Visual department which includes providing equipment and services for client productions as a source of Monona Terrace revenue.
- Perform and/or facilitate problem-solving relative to client and operational issues.
- Develop operational policies, procedures, and service changes which will improve client satisfaction and operational efficiency.
- Assist the Monona Terrace Sales Manager with the development, implementation, and administration of the sales and marketing plans for the Monona Terrace Community and Convention Center.
- Oversee and perform activities relating to securing and booking facility usage for such purposes as meetings, seminars, conferences, retail and trade shows, exhibits, social events and entertainment events.
- Attend sales conferences, trade shows, and other related events to promote Monona Terrace usage and develop clientele.
- Coordinate cooperative sales campaigns and materials in association with the food service vendor, the Greater Madison Convention and Visitors Bureau (GMCVB) and other business and community partners.
- Work cooperatively with the GMCVB to enhance usage of the Monona Terrace Community and Convention Center. Serve as the primary City contact for the day-to-day administration of the contract with the GMCVB, including activities relating to marketing Madison as a destination.
- Develop and maintain a network of client contacts. Develop and maintain cooperative arrangements with GMCVB to ensure maximum exposure and usage of the Monona Terrace Convention Center.
- Prepare materials and reports on events and usage to evaluate the achievement of marketing and facility usage goals.
- Oversee the development and implementation of a comprehensive public and community relations program including community events relevant to the goals and objectives of Monona Terrace Community and Convention Center which includes recognition as a community center and a tourist destination.
- Establish strategic direction and support the Friends of Monona Terrace Board.
- Develop separate Revenue and Expenses for Operating budget proposals and necessary analysis and documentation for the annual budget process for five (5) separate units: Sales and Marketing, Event Services, Tourism, Community Relations, and Audio Visual.
- Market Monona Terrace as a community and tourism destination including overseeing the GMCVB and Visitors Bureau (dba Destination Madison), the Wisconsin Association of Tourism Attractions, and the State's Department of Tourism.
- Perform related work as assigned.
Minimum Qualifications
- Three (3) years of directly related professional experience in managing sales, marketing and event services programs and staff in the convention, hotel, and/or hospitality industry, including or supplemented by community relations responsibilities. AND
- Bachelor's degree or higher in marketing, business administration, public relations, hotel or restaurant management, communications or a related field.
