Description:
This role will be working with the New York Office in an administrative capacity. Tasks such as calendar management, data entry, travel arrangements, establishing and maintaining records are a few of the responsibilities and may change as the role develops. Additionally, this role will manage and delegate the day-to-day tasks of the administrative assistant/receptionist, will establish the daily routine, processes and procedures for all aspects and functionality of the front desk to ensure the flow of the day. Given the nature of this role, the handling of sensitive information with the highest level of professionalism and confidentiality is required. This role is 100% onsite.

Compensation: It is expected that the base salary range for this position will be $80,000- $90,000. Actual salaries may vary based on factors such as skills, experiences and qualifications for the role. The total compensation package for this position may also include other elements and discretionary awards in addition to a full range of medical, financial and / or other benefits (including 401(k) eligibility and various paid time off benefits such as vacation, sick time and parental leave) dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, the employee will be in an 'at-will position' and the Firm reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time including for reasons related to individual performance, Firm or individual department / team performance and market factors.
SUMMARY OF RESPONSIBILITIES
MANAGEMENT & ADMINISTRATIVE
- Manage and delegate the day-to-day tasks and responsibilities for the administrative assistant/receptionist
- Assist the Chief of Staff with administrative tasks paying special attention to small details
- Create Outlook and ZOOM meeting invites for Underwriting and Originations teams and other teams
- Sort & mail; scan registered mail, UPS, FedEx; prepare certified mailings and Arrow Messenger deliveries
- Ad hoc projects as assigned to include expense reporting for the Leadership Team as needed
- Accept, sort, and deliver incoming/outgoing mail and packages in the mailroom and to employees
- Restock and maintain employee breakroom and all communal areas of the office and conference rooms
- Order and restock office and business-related supplies to include office supplies and snacks, and maintain an inventory checklist
RECEPTION, MEETINGS & LEAD RECEPTIONIST
- Morning office opening and evening closing procedures
- Function as resource at the reception desk for both guests and employees
- Register guests with security and greet guests upon arrival
- Reserve conference room space for internal and external meetings
- Maintain appearance of reception and surrounding office area
- Answer and field incoming calls for the main phone line
- Order catering for meetings and events; work with the facilities manager to ensure all food vendors have COIs on file with building
- As the firm continues to grow, responsibilities may change on an ongoing as needed basis
Requirements
- At least 5 years of experience working as an Office Manager or similar role
- Superb organizational skills including the ability to work autonomously, multitask, prioritize, and respond timely; adaptive to changing priorities and requirements
- Excellent written and verbal communication skills including professional phone etiquette
- Outstanding people skills with the ability to effectively interact with internal and external business partners and staff at all levels
- Uses sound judgment and problem resolution skills and discretion in handling confidential information with utmost integrity
- Positive, can-do, and professional attitude with ability to work well in a dynamic environment; thinks strategically and is an initiative-taker
- Advanced knowledge of Microsoft Office (especially Excel, PowerPoint, and Outlook); familiarity with Concur is preferred
